Position Summary: We have an exciting opportunity to join our team as a Employee & Labor Relations Assistant.  In this role, the successful candidate, Employee & Labor Relations Assistant will be responsible for providing a wide variety of administrative support including, answering calls made to the general phone line, providing HR services and solutions support with a focus on high quality customer support/counsel, coordinating and scheduling grievance hearings, creating and maintaining various reports and databases as well as other related administrative duties for the department.  The individual will exercise independent judgment in addressing concerns and understand when to escalate issues and concerns to the appropriate party for resolution.  Job Responsibilities: Provides support and counsel to all employees and managers, and escalates issues appropriately as it relates to HR services and solutions, including HR policy questions, absence and leave management, Time Off Plans, general HR and other components of the employee life cycle. Uses a variety of methods including HR colleagues, other Hospital departments, internal/external vendors and systems to properly address the needs of HR customers. Addresses all inquiries (email, phone or walk-in) in a pleasant and courteous manner. Answers routine inquiries professionally, accurately and completely, and refers non-routine inquires to appropriate HR colleague. Uses available resources, including HR colleagues, to gather additional information and responds to the HR customer timely. Contacts others (internal colleagues and vendors) as needed to resolve problems. Attempts to limit handing-off inquiries to other colleagues/departments and escalates issues as they arise. Schedules and coordinates grievance hearings Inputs discipline notices and sends notification to the union for suspensions and terminations Maintains grievance and discipline logs Assigns cases in Salesforce to Employee & Labor Relations Managers for union and non-union cases Sends notices to Managers regarding the monthly 1199 New Member Benefits meetings Reviews and responds to unemployment insurance claims Processes subpoenas for HR personnel file requests Maintains an accurate log of all assigned tasks and inquiries using Salesforce, properly documenting cases and solutions. Uploads documentation to OnBase system as necessary for required activities. Helps implement continuous improvement projects, which could include process, procedure and knowledge documentation to enhance how support is delivered. Surfaces process improvement ideas for how we serve employees and managers based on the interactions and inquiries handled. Participates in special projects as requested, and ensures all assigned tasks are completed timely. Reports on status regularly and seeks clarification when necessary. Minimum Qualifications: Education: Associate's degree in a related field. Experience: Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Specific Knowledge, Skills, and Abilities  Excellent collaboration, interpersonal and communication skills.  Customer focused ability with an emphasis on the employee/customer experience. Adaptable to new situations in a rapidly changing, dynamic environment. Detail oriented. Proficient in Microsoft Office applications. Data entry skills including excellent data quality, demonstrating accuracy and attention to detail in work. Ability to work well in a team environment, seeking the ideas of others and valuing differing perspectives. Capability to solve issues in a timely matter and take initiative to make processes and programs better. Ability to handle multiple requests in a timely manner. General analytical and problem solving skills and knowing how to identify when issues need to be escalated. Demonstrated ability to handle confidential information and maintain objectivity.  Qualified candidates must be able to effectively communicate with all levels of the organization. NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $51,243.96 - $70,000 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
