We are seeking an experienced Executive Assistant to provide high-level administrative support to our executives. The ideal candidate will have at least 8 years of experience in a similar role, with a proven track record of managing complex calendars, coordinating travel arrangements, and handling sensitive information with discretion. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders, requiring excellent communication and interpersonal skills.Find out if this opportunity is a good fit by reading all of the information that follows below.Responsibilities:Calendar Management: Efficiently manage executives' calendars, scheduling appointments, meetings, and conference calls, while prioritizing conflicting requests and ensuring timely reminders.Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, ground transportation, and visas, while considering preferences and optimizing itineraries.Communication Management: Screen and prioritize incoming emails, calls, and correspondence, responding on behalf of executives when appropriate, and ensuring urgent matters receive prompt attention.Meeting Support: Prepare meeting agendas, materials, and presentations, and coordinate logistics for internal and external meetings, ensuring all participants are well-informed and prepared.Information Management: Maintain confidential files, records, and databases, ensuring accurate and up-to-date information is readily accessible to executives as needed.Project Coordination: Assist with the planning, execution, and follow-up of special projects and initiatives, collaborating with cross-functional teams and external partners as required.Office Management: Oversee office operations, including supplies inventory, equipment maintenance, and vendor management, ensuring a professional and efficient work environment.Relationship Management: Cultivate positive relationships with key stakeholders, including executives, colleagues, clients, and vendors, representing the organization professionally at all times.Qualifications:8+ years of experience as an Executive Assistant or similar role, preferably supporting C-suite executives or senior leadership.Bachelor's degree in Business Administration, Management, or related field preferred.Exceptional organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.Strong communication skills (verbal and written) with a high level of professionalism and discretion.Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management tools (e.g., Microsoft Outlook, Google Calendar).Attention to detail and a commitment to accuracy in all tasks and communications.Adaptability and the ability to thrive in a fast-paced, dynamic environment, demonstrating resilience under pressure.Proactive problem-solving skills with the ability to anticipate needs and take initiative to address them.Discretion and confidentiality in handling sensitive information and matters.Benefits:Competitive salary commensurate with experience.Comprehensive health, dental, and vision insurance plans.Retirement savings plan with employer matching contributions.Paid vacation, sick leave, and holidays.Professional development opportunities and ongoing training programs.
