Fixed Term Part Time | 12 Months 26 Hours per Week, 08:30-17:00 About The Role To provide administrative support to Health Information Services and to internal and external customers in a timely and confidential manner. This role involves reception duties related to the release of clinical information and the collection, collation, and scanning of clinical documentation into the digital medical record. Key Responsibilities Respond to requests for clinical information, ensuring timely fulfillment in compliance with confidentiality policies. Scan medical records to the Digital Medical Record (DMR) and process images from external providers. Assist with the retrieval, tracking, and maintenance of medical records, ensuring queries are resolved within timelines. Accurately enter data into the Patient Administration System (IBA WebPAS) and Digital Medical Record (BOSSnet). Provide support and information to students and multidisciplinary staff during their placements at Grampians Health. Participate in team meetings, quality improvement projects, and adhere to Occupational Health and Safety policies while ensuring confidentiality at all times. Skills & Experience Previous clerical or clinical experience, preferably in a hospital environment. Ability to accurately use medical terminology. Strong keyboard skills with proficiency in Microsoft Word, Excel, and email; able to enter data quickly and accurately. Proficient in computer use for accurate and timely data entry into the Digital Medical Record. Excellent communication, customer service, and interpersonal skills; able to maintain effective relationships and handle telephone inquiries confidently. Strong time management, organizational skills, and ability to work effectively in a team to meet targets and Key Performance Indicators.
