About The Role We are seeking a dedicated and proactive Administrative Assistant to join our Melbourne office and play a key role in our wider business support team. This full-time office-based role (4 days part-time Mon Thursday would be considered) is ideal for someone who thrives in a fast-paced environment, enjoys supporting others, and takes pride in creating a welcoming and well-run office. Youll provide broad administrative support across the Melbourne team and executive assistance for some of the Partners. You will contribute to the office culture and help ensure day-to-day operations run seamlessly. Were interested in candidates with varied experience levels, preferably with a minimum of two years in administration or a related role, who are highly organised, detail-oriented, and confident managing competing deadlines. Strong emotional intelligence, a collaborative mindset, and a good sense of humour are essential in our people-focused, team-driven culture. Responsibilities Will Include (but Are Not Limited To) Office & Team Support Deliver high-quality administrative support to the Melbourne office and executive team. Greet clients and handle incoming calls, ensuring a warm and professional first impression. Organise meetings and events, including room bookings, catering, and preparation of relevant materials. Assist in the coordination of daily office operations, liaising with suppliers, contractors, and building management. Assist in maintaining a tidy, well-stocked, and welcoming office environment, including kitchen management and supply ordering. Manage travel arrangements and accommodation bookings for team members. Assist with general administration such as document preparation, printing, filing, and managing incoming/outgoing mail. Help plan and deliver internal events and celebrations, such as team birthdays and milestones. Collaborate with administrative teams across other offices to support consistent and efficient business practices. Contribute to new business activities, including preparing proposals and keeping company credentials up to date. Support team projects, including event logistics, marketing support, and document coordination. Executive Support Manage and prioritise emails, phone calls, and other correspondence with professionalism and discretion. Coordinate calendars, including scheduling meetings, appointments, and engagements. Prepare agendas, presentations, briefing papers, and other materials for meetings and events. Book and manage travel itineraries, accommodation, and expense reporting. Coordinate meetings across multiple time zones and stakeholders. Monitor tender platforms, track deadlines, and support response preparations. Skills & Experience Minimum 2 years experience in an administrative or similar role. Strong organisational and time management skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, MS Teams). Excellent written and verbal communication skills.
