We are always looking for talented people to join our team and are currently seeking a dynamic and detail-oriented Business Operations Coordinator to join our high-performing team in Adelaide. About the Role This is a varied and impactful role providing administrative, financial, office, and commercial support across the business. You will work closely with executive leaders, project managers, clients, and suppliers to ensure smooth operations of our internal systems, external communications, and business functions. This role is ideal for someone who thrives in a fast-paced, collaborative environment and seeks growth within a supportive and innovative organisation. Key Responsibilities Administrative Duties Maintain office supplies and inventory, ensuring resources are available Schedule meetings, handle correspondence, and maintain cloud filing systems Support office management tasks and follow up on action items Financial & Accounts Support Generate reports using Xero Track outstanding invoices and follow up with clients Assist in collections and maintain positive client relationships Process and reconcile invoices Reconcile accounts receivable discrepancies and resolve issues promptly Schedule and process timely payments Review and quality check payslips (weekly cycles) Commercial Support Assist with preparing and reviewing contracts, proposals, and procurement documents Coordinate software licensing contracts and renewals Assist with developing licensing and service quotes, reviewing documents, and basic Excel calculations Onboarding and HR Support Coordinate onboarding for new hires Assist with employee training and development Maintain employee records and ensure policy compliance Support offboarding processes Ensure compliance with employee awards and legal requirements Executive Assistance ad-hoc Provide support to executives, including travel arrangements Serve as liaison with stakeholders About You We seek a proactive, organised, tech-savvy individual who enjoys supporting others. Skills and Qualifications Experience in an administrative role Strong organisational and multitasking skills Excellent communication skills Ability to work independently and in a team Desired Skills Familiarity with HR processes and onboarding Basic bookkeeping experience (training provided) Experience with tools like Employment Hero, Projectworks, Hubspot CRM, Lucid, Confluence, Xero Proficiency in Microsoft Office Suite Experience with AI tools such as Co-Pilot and ChatGPT Attention to detail and problem-solving skills Location Based in Adelaide, this hybrid role requires most days in the office.
