Job Description

This is a Office Coordinator role with one of the leading companies in AU right now Slalom with an amazing team. They are continuing to grow rapidly. More About the Role at Slalom The Operations team are advocates, connectors, service providers, subject matter experts, and leaders in Office Management, Event Planning & Execution, Recognition & Slalom Culture, and Reception & Welcome Desk Experience. This role requires in-person attendance at our Circular Quay office in Sydney 4 days a week. What will you do? Office Administration: Serve as the primary point of contact at the front reception desk, providing a hospitable, warm experience for clients, candidates, and vendors. Manage central email, phone requests, mail, and packages, directing them to the appropriate individuals. Inventory and order office supplies, gear, and swag, including life event purchases and delivery. Support initiatives to foster and execute Slalom Culture. Assist with special projects for leadership and key team members. Ensure the organisation and cleanliness of the office space, including purchasing and restocking office supplies, kitchen supplies, snacks, beverages, etc. Space & Safety Management: Maintain cleanliness and organisation of the space, including tidying conference rooms and restocking the kitchen. Liaise with building management, internal employees, Slalom Spaces, and vendors regarding facility-related requests and issues. Facilitate employee badging and visitor access. Support office build-outs, moves, expansions, and desk configurations. Event Support & Execution: Assist in planning and executing internal and external events, including setup and breakdown, collateral, venue sourcing, contracting, theme development, registration, communications, food and beverage, swag, AV, etc. Manage and curate meetings and events within the Slalom office, including securing conference rooms and arranging catering and supplies. Order supplies, awards, and prizes for meetings and events. Collaborate with Employee Resource Groups and programs to create impactful team events that promote engagement and culture. Employee Experience & Market Communication: Facilitate New Hire Orientation/Onboarding, including first-day logistics, meeting scheduling, and tours. Support market-wide communication efforts through appropriate channels for important updates and announcements. Actively participate in Team Operations community and Slalom Development offerings. What Youll Bring Experience in a similar role with a broad range of responsibilities. Proficiency in Microsoft Office Suite, Outlook, and Microsoft Teams. Detail-oriented with the ability to manage multiple tasks and priorities, along with strong problem-solving skills. Professional communicator with excellent oral and written communication skills. Ability to multitask and handle multiple projects simultaneously, maintaining flexibility and urgency without sacrificing quality or accuracy. A proactive attitude, approaching all tasks with a positive, professional demeanor.
