Our Fuels & Energy East division has a permanent position available for an experienced Site / Training Administrator to join the project team on Curtis Island, Gladstone Queensland. Reporting to the Senior Cost Controller, you will be responsible for the implementation of the training needs analysis for both internal and external employees.Key responsibilities:To be successful in this position you will be a dedicated team member with significant experience in a similar position. Business Tertiary qualifications (preferably in Finance) will be highly regarded. You will display a professional approach to your work with effective communication skills (both written and oral) and advanced skills in MS Word, Excel, Visio, Powerpoint and Outlook. You will have experience working independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast-paced environment with multiple and competing demands. UGL administrator & key contact for client-based Learning Management System (LMS).Compile contract reporting as required by the Contract Manager for all Project reporting.Have a clear understanding of all pay rates, relevant Awards, EBAs and contracts relevant to the project.Administer communication with employees, incl. management of contacts lists & organisational charts.Plan, coordinate & arrange onboarding & mobilisation process tasks (UGL & other personnel) incl Mobilisation & demobilisation of FIFO personnel, Concur travel bookings.Monitor training & competency requirements for all site personnel to achieve & maintain site compliance.Plan, arrange & coordinate internal & external training (on & offsite) for blue- & white-collar personnel.Create & update user profiles in Client LMS. Ensure training & qualification records are tracked, complete & recorded into Client LMS & UGL systemsProvide data to monitor & analyse performance against KPIs.Provide Competency Assurance by undertaking internal audits & facilitating external audits to ensure technical compliance against expectations of defined rolesCo-ordinate & assist end of month processes & reporting within required deadlines & to required levels of accuracy for the contract.Review & advise on forecast & actual financial reports. Ensuring relevant costs are taken to account.Provide purchasing & payroll support to cost administrators, incl SAP & VIMS processingAssist cost control activities for site ensuring compliance with company terms and other policies.Review monthly reporting for accuracy, investigate deviationsAssist in procedure & process writing, document reviews & creationLiaise with customers, suppliers, employees & public, both internal & external, ensuring positive interaction with effective job managementProvide advice & support regarding client LMS & onboarding procedures to CoP & other site vendor personnel as neededAd-hoc administration tasks, incl expense management for personnel & barge bookings where requiredAs the Site / Training Administrator you will have a proactive approach to your work with demonstrated experience working with high performing teams.
