About the team The Dispute Resolution Group in our Australian office is one of the largest practice groups, with extensive experience advising and representing clients in complex commercial disputes. Known for practical, commercial advice and problem-solving, as well as cross-border capability, we are instructed by major national and international organizations and leading insolvency practitioners on large-scale restructuring and insolvency cases across various industries. Our collaborative approach helps clients remain compliant, innovative, and profitable in a rapidly evolving industry. About the role We have a rare opportunity within our Melbourne team for a full-time Secretary. In this role, you will provide timely, efficient, and high-quality secretarial and administrative support to one or two Partners and several Associates in the Dispute Resolution practice group. Key duties include but are not limited to: Answering calls: Screen, resolve simple queries, relay messages, and redirect as needed. Document creation and editing: Type letters, emails, memos, contracts, presentations, and pitch documents, using version control and track changes. Overflow support: Assist other Secretaries with administrative tasks, including leave cover. Billing processes: Handle monthly billing, client invoicing, draft and distribute invoices, and manage reporting for key clients. Client matter intake: Support the intake process for new client matters. Expenses: Process expense claims and cheque requisitions. Conflict searches: Perform conflict searches as required. Correspondence organization: Manage voicemail, email, and postal mail in the absence of authors or as requested. Client communication: Maintain relationships and assist with business development activities. Event and travel coordination: Organize couriers, conferences, functions, travel, and accommodations. Arrange meetings, room bookings, catering, and invitations. Calendar management: Manage authors calendars and schedules. File management: Maintain and update files according to tasks and firm standards. Ad hoc tasks: Perform various additional duties as needed. About you Experience supporting multiple fee earners in a law firm or professional services environment. Minimum typing speed of 50 wpm with 90% accuracy. Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel. Excellent customer service and client relationship skills. SAP experience (preferred but not required). Desirable: Advanced Diploma of Business (Legal Practice) or equivalent. Ability to work well in a team, including across Australian and international offices.
