1 day ago Be among the first 25 applicantsPosition Title: Events & Administrative AssistantLocation: J-TEC, Maple Heights, OHReports To: Marketing SpecialistEmployment Type: Full-TimePosition Overview:The Events & Administrative Assistant is responsible for coordinating the daily activities of the Jay Blaushild Training & Education Center (J-TEC) in Maple Heights, OH. This role involves maintaining a master calendar for training sessions, workshops, and corporate events, ensuring smooth execution and a high-quality experience for participants and facilitators.Key Responsibilities:Administrative Assistance:Maintain training and event calendars, schedules, and documentation to ensure the facilitys calendar is full without overbooking events and trainingsPerform administrative tasks, including making reminder and invitation phone calls, handling incoming phone calls, and responding to emails in a timely mannerPrepare event reports and provide recommendations for improvementsFacility & Resource Support:Monitor inventory of training materials, equipment, and event suppliesEnsure training rooms and event spaces are properly set up and maintainedCoordinate IT and audiovisual needs for training sessions and eventsEnsure compliance with health, safety, and accessibility requirements for all eventsOversee the post-event breakdown and prepare the space for the next event(s)Event Coordination & Execution:On-site support during all eventsCoordinate all aspects of event logistics, including maintaining the venue booking calendar, arranging audiovisual support in collaboration with the IT team, and organizing transportation as neededWork cross-departmentally with trainers, facilitators, marketing, and external vendors to ensure all event needs are metTroubleshoot any issues related to facilities, AV equipment, and/or cateringCommunication & Engagement:Act as a liaison between trainers, event speakers, vendors, and internal teamsRespond to inquiries and provide support to participants before, during, and after events.Communicate event details, agenda, and logistics to attendees and stakeholdersRequired Skills & Qualifications:Minimum of one year of office administration experienceHands-on experience in event planning is preferredAssociates degree in related field is a plusProficiency in Microsoft Office, Event Management Software, and project management systemsExcellent verbal and written communication skillsWillingness to work evenings or weekends for events as needed.To be successful in this role, the candidate must be:Extremely detail-orientedHave a strong ability to multitaskAble to meet deadlinesEfficient and effective at coordinating logisticsAble to problem solve when unexpected challenges arise during training sessions and eventsAble to work autonomously without constant direct supervisionWhat Makes Us Famous!Health, Vision, and Dental InsurancePaid Time Off (Vacation and Holidays)Paid Maternity and Paternity Leave401K Employer MatchBonus OpportunityStrong Culture through our 40 FundamentalsFamily AtmosphereFitness Reimbursement ProgramAssociate Referral Bonus ProgramLearning and Development OpportunitiesLeadership Development ProgramCareer Growth OpportunitiesFamous Supply is a wholesale distributor committed to serving contractors, builders and remodelers in the HVAC, Plumbing, Building Products, Lighting, and Industrial/PVF segments.Since 1933, Famous has been a family-owned business that treats its associates like family.
