About The Role And Team We have an exciting opportunity for a Facilities/Files & Securities Clerk to join our Workspace team, onsite in Newcastle. As a Facilities/Files & Securities Clerk, you will provide prompt, efficient, and reliable service to our growing Newcastle office, which currently consists of 65+ people. Your responsibilities will include: Setting up rooms and IT equipment for meetings, events, and seminars (laptops, projectors, AV setup); Liaising with the Events team regarding internal events; Setting up desks with IT equipment and cabling; Maintaining inventory of AV and WFH equipment and coordinating their distribution and return; Conducting daily morning floor walks to ensure the office is ready for operation; Managing security access card distribution and maintenance; Providing office tours for new starters; Monitoring and completing service requests via Jira; Logging jobs with building management; Coordinating secure bin pickup/delivery and general office maintenance (e.g., toner replacement, paper jams); Assisting with office moves and fit-out projects (possibly in other states); Preparing files for archiving or off-site storage; Managing file pickup, delivery, and safe custody; Preparing documents for storage; Ensuring process consistency for archiving and off-site storage; Scanning original documents as needed; Training backup staff for Files & Securities duties; Performing ad hoc duties as required. About You You will ideally have: Experience in a facilities or files & securities clerk role or similar; Experience in a professional services environment (preferred); Strong attention to detail; Excellent customer service and interpersonal skills; Flexibility, reliability, and a proactive attitude; Strong organizational skills and ability to prioritize; Ability to work autonomously and follow directions; Proficiency in Microsoft Office; Ability to work under pressure; Professional work ethic.
