Our focus is on building the best travel search engine to make it easier for everyone to experience the world.KAYAK is seeking an organized, hardworking, highly motivated individual to create world-class in-office experiences for employees and drive day-to-day office operations in our Sydney office!This role is part-time spread across 4 days a week equivalent to 22.8 hours per week. Required to be in our Sydney office (Tuesday, Thursday and half days on Monday and Wednesday).In this role, you will:Create a positive, engaging, and inclusive workplace experience where our people can do their best workCoordinate all office purchasing and inventoryManage ongoing office operations, creating a clean, organised, and functional environment for all employees and visitorsPlan, coordinate, execute all aspects of office-initiated events including decorations, setup, and breakdown. Partner with IT for AV needs.Manage onsite food and beverage catering including snacks and lunchesSupport and facilitate a localized approach to programs and initiatives across the workplace footprint (e.g. Do Good Week, Sustainability, Diversity & Inclusion, All Hands, Offsites, etc.)Act as Floor Warden for local Life Safety drills and eventsRespond to emergencies and urgent issues promptly and appropriatelyMaintain office budgets related to supplies, events, and all operational spendingSupport Office Lead and Community Lead with budgets, activities, communications and house meetingsTeam up with Social Committee to coordinate various company outings & in-office eventsWork with HR, IT, and Recruiting to onboard new hires, managing seating allocation, and new hire needsBe responsible for general upkeep and office maintenance needs (kitchen appliances,, chairs, cleaning, and equipment)Manage vendor relationships, including existing contracts and developing new relationshipsWelcome visitors and interviewees, assisting in coordinating plans, including accommodation and transportation if neededCoordinate incoming and outgoing couriersCollaborate with Legal for all office operation-related contractsBe proactive; talk with employees and keep a pulse on what keeps them happy and productiveBe a part of the global Workplace Experience team and collaborate and participate across the Office Manager networkDeliver light support for APAC remote employees and other offices in APAC that do not have an Office ManagerSupport facilities and office footprint operations, including (but not limited to):Implementation and upkeep of safety procedures and physical security protocols (e.g. safety teams, first aid, paperwork audits, etc.)Office moves and refurbishmentsUpkeep of office functionality (e.g. repairs, furniture, power, lights, pantry equipment, etc.)Perform other responsibilities as directed by the Workplace Manager.Please apply if:Office management experience with an understanding of daily operations in a fast-paced environmentPassion for people - desire to create a world-class experienceCollaborative teammateForward thinker, anticipating the needs of othersStrong interpersonal skills; fun, professional, friendly demeanor; desire to assist others and face challenges head onProactive - quick on your feet and an excellent multi-taskerStrong time management and organizational skillsTackle problems independently where appropriate and set prioritiesExcellent verbal and written communicationAvailable to work in the office 3 or more days a weekAbility to lift 20kgFamiliarity with Google applications (Drive, Docs) and SlackAble to maintain professionalism and discretionStrong organization skillsBenefits:Focus on mental health and well-being:Company-paid therapy sessions through SpringHealthCompany-paid subscription to HeadSpaceCompany-wide week off a year - the whole team fully recharges (and returns without a pile-up of work!)Paid parental leaveGenerous paid vacation + time off for your birthdayPaid volunteer timeFocus on your career growth:Development DollarsAccess to thousands of on-demand e-learningsEmployee Resource GroupsCompetitive retirement and health plansFree lunch 2 days per weekFun events and happy hoursDiversity, Equity, and InclusionAt KAYAK, we aspire to be a workplace that fosters inclusion and reflects the diverse communities we serve.
