Role Overview:Location:SydneyReports to:Project Lead, SydneyRole type:Contract rolePeriod:9 June 2025 - 29 March 2026 (specific dates are applicable)Role Summary:The Operations & Overlay Manager - Race Stadium is responsible for planning, delivering and removing all infrastructure and operational elements across:Shark Island and its boat transfer locationDockside event at the Tech Site.Back of house broadcast location in Rose BayThis includes oversight of venue design, contractor and supplier coordination, site logistics and health and safety compliance. The role ensures seamless integration of operational planning with SailGPs broader event strategy, supporting both global and local teams to deliver a world-class fan experience.Key Responsibilities:Event Infrastructure and Operations ManagementPlan, procure and schedule the build and delivery of Race Stadium infrastructure and services.Manage procurement, setup, operation and removal of infrastructure and equipment within the approved budget.Select, contract and manage service providers for infrastructure, equipment and event operations.Oversee planning and operations of the event site, including:Services and utilitiesWaste managementSecurity and accreditationStaffingTransportation and traffic managementTemporary infrastructure and machinerySupport onsite accreditation setup and execution as directed by the Event Safety & Services Manager.Venue Design and Site ManagementLead venue design, site management and technical requirements for all spectator facing event sites, in collaboration and collaboration with the SailGP team.Venue design to include the Race Stadium seating, activations, facilities, prize giving stage, Media Centre, Broadcast compound and Adrenaline Lounge.Manage internal venue designs for existing venues where needed.Develop detailed CAD layouts and site plans; manage document control, technical drawings, and calculations.Ensure overlay CAD includes all information required for global and local suppliers to deliver their scope safely and to schedule.Support SailGP with defining operational specs and delivery requirements of the Prize Giving ceremony.Consult with the SailGP Global Hospitality team to define, procure and manage technical and operational elements of their programme.Permits and LicensingResponsible for securing all consents, permits and licenses required for the event, ensuring compliance with all relevant local legislation.Own the end-to-end workflow for all permits and licensing processes, ensuring timely submission and approval.Develop and maintain a central tracking document to monitor progress and share relevant information across the team.Schedule and lead briefing sessions with internal stakeholders; draft supporting process documents to ensure all contributors and action owners are informed of their roles in permitting workflows.Act as the primary point of contact with local authorities and regulatory agencies involved in permitting and licensing.Manage associated costs and ensure all budget impacts are communicated promptly to the SailGP Head of Event.Project and Budget ManagementCollaborate with the Head of Event to create and maintain a comprehensive event operations project plan.Work closely with colleagues, contractors and suppliers to ensure timely and efficient delivery.Procurement process management and financial compliance are led by the Finance & Procurement Manager, with this role defining scopes and managing delivery.Sustainability and SafetyImplement SailGPs sustainability initiatives across all event operations.Support development of event H&S documents in collaboration with key SailGP leads:Crisis communicationSafety plansSecurity plansAdverse weather plansEvacuation plansAviation plansEnsure the Event Risk Profile is actively used during planning and updated with event specific risks and local regulations.Work with the Production & Site Managers and Health & Safety experts to ensure the relevant measures and facilities are in place to ensure efficient and safe working practices.Work with the Health & Safety / engineering experts to ensure all structures are built in compliance with structural engineering documents, signed off and handed over in compliance with relevant processes.Coordination and CommunicationCoordinate with SailGP Global and APAC teams for event delivery to ensure cost efficiencies and organisational synergies.Act as the primary point of contact for key operational leads from the SailGP team.Ensure effective communication and information dissemination to internal and external stakeholders, including the management of accreditation processes.Lead on :Setting up & co-chairing (with Operations & Overlay Manager - Tech Site) the regular planning calls with the SailGP team.Co-chair (with Operations & Overlay Manager - Tech Site) daily site coordination calls with all onsite leads throughout build, live days and derig.Attend daily weather coordination calls during the delivery phase of the event. Responsible for sharing updates across onsite teams and guide on daily works adjustments required in light of weather forecast.Supplier and Contractor ManagementProcure and manage event operations suppliers within budget.Scope temporary infrastructure needs (e.g. scaffolding structures, tents, fencing etc).Prepare technical specs and tender packages for all required structures and other facilities on site.Select and manage best in class contractors to fulfill multiple onsite roles including:Site ManagersProduction and Floor ManagersHealth & Safety expertsEngineersTechnical experts (as required)Security experts (as required)Scoping and managing the contracts for all local suppliers under their direct remit as per above - including KPI monitoring.Event Logistics and OperationsLead operational planning and delivery of all Race Stadium logistics including: utilities, waste management, security, accreditation, staffing, traffic management and transportation.Develop and manage plans for accreditation, ingress and egress, traffic management and security in consultation with the SailGP team and relevant local stakeholders and authorities.Ensure pedestrian/vehicle access is considered across all event phases (build, live, derig).Ensure safety, accessibility and guest experience are reflected in planning (e.g. signage, CCTV, landscaping).Support the development of an accreditation manual for the event and ensure information is communicated in advance to suppliers, vendors and staff to request accreditation. This function is supported by the SailGP Event Safety & Services Manager with consultation with the wider SailGP team.Work with the Production & Site Managers on assessing site readiness ahead of all activities including site marking out.Work closely with SailGP Ticketing team and appointed ticketing provider to ensure ticketing operations requirements are built into wider event plans. This includes on land and on water ticket holders.Technical and Operational SupportSupport Global Venue Technology Manager and Global suppliers in planning and delivering venue connectivity and technology requirements.Consult with the SailGP team during the planning and delivery phase to ensure the venue design and operational plans align with the sailing schedule and event delivery requirements.Additional ResponsibilitiesSupport delivery of partner activations, merchandise, hospitality structures and media centres.Actively contribute to the SailGP APAC team to enhance planning and execution.Perform other duties as required by SailGP.Qualifications and ExperienceProven experience as an Operations & Overlay Manager, ideally in large-scale sports or entertainment events.Strong project management and budgeting skills.Excellent communication and coordination abilities.Proficient in CAD software and managing technical drawings.Understanding of Health & Safety regulations and risk management.Collaborative approach and ability to thrive in fast paced environments. #J-18808-Ljbffr
