This is an important role in the Colleges operations functioning in a dynamic, rapidly changing environment which requires flexibility, adaptability, initiative as well as excellent organisation and problem-solving skills. These directions will align with, and support, the vision, mission and strategic plan of the college and align with touchstones embedded in the Charter for Catholic Schools in the Edmund Rice Tradition.Position Responsibilities:The Personal Assistant to the Dean of Teaching and Learning is responsible for: -ADMINISTRATION Working autonomously and under the direction of the Dean of Teaching and Learning to provide a high level ofadministrative support. Managing the electronic diary and e-mails of the Dean of Teaching and Learning. Liaising with the Director of Marketing and Communications for the dissemination of communication tostakeholders, including the marketing of academic events and points of interest. Creating documentation and reports in appropriate formats as requested by the Dean of Teaching and Learning. Preparing, collecting and distributing correspondence (including mail, telephone enquiries and meeting minutes)related to the Dean of Teaching and Learnings activities. Liaising with parents/students/staff (including organising interviews) under the direction of the Dean of Teachingand Learning. Attending Teaching and Learning meetings to provide administrative support including minute taking.ACADEMIC CEREMONIES Organisation of trophies, certificates and medallions for academic award winners throughout the year. Organisation including sending invitations, booking venues, creating scripts and run sheets for any academic orscholars assemblies. Uploading student award information into TASS following awards ceremonies. Co-ordinate trophies, invitations, seating and procession order for Celebration of ExcellenceSUBJECT SELECTION Collecting and collating information for academic information sessions, subject guides and curriculumprospectus, including liaising with the marketing teams to produce publishable content. Assist with the subject selection process for students including producing and updating subject selectionmaterials. Assist with the organisation of subject selection evenings, including set-up and catering management whereapplicable.NAPLANWorking alongside the Dean of Teaching and Learning to: Upload student data to the NAPLAN application, create Test Administrator and NAPLAN coordinator resources as necessary and produce supporting documentation. Assist with co-ordination for the delivery of NAPLAN testing (producing TA and student session slips, rolls andother resources as required) as well as arranging appropriate set up of examination space. Oversee student report mailouts and communication following the release of NAPLAN results.QCAAAssist the Dean of Teaching and Learning with duties associated with: Maintaining the Student Management application including student enrolment details and results, generatingLUIs and exiting students with final results Support for the management of staff user profiles within the relevant QCAA applications QCAA endorsement and confirmation process Applying to the QCAA for rescheduling if there is a timetable clash for external exams. Uploading documents and data to QCAA as required.OTHER DUTIES Liaising with the Dean of Administration and Business Intelligence and the Enrolments office regarding subjectselections for students new to the College. Coordination of Academic Honour pockets. Organising catering as required by the Dean of Teaching and Learning Providing administrative support to Heads of Faculties (HOFs) as required with regard to curriculum activities. Responding to any other task, within the role holders capabilities, as required by the Principal or their delegateDesirable Skills, Qualifications & Experience:Knowledge and experience should include: Flexible and able to exercise initiative with discretion. Maintain confidentiality and discretion at all times. Warm demeanour, empathy and the ability to adapt to people and situations. Ability to problem solve and perform all tasks with attention to detail and accuracy. Have knowledge and awareness of applicable compliance and regulatory obligations including but not limitedto - Workplace Health and Safety and Risk Management requirements and Equal Opportunity and Anti-Discrimination requirements. Maintain a degree of flexibility in working hours from time to time as required for the position. Accept that the College reserves the right to modify the position to meet its operating requirements.
