Reporting to the Senior Director of People Operations, this position is the glue that keeps our beautiful Universal Music Australia office space together. Based here in Woolloomooloo, not only does the Facilities Manager ensure the smooth and efficient operations of the UMA office, they are also involved in managing a number of projects and initiatives that will help bring to life the company vision of supporting culture through the power of artistry. We are looking for someone to join us on a 12-month contract.About the role:General management of all facilities maintenanceDaily monitoring of each level to ensure Universal Office is up to standard by providing frequent reports and actioning on any outstanding issuesEnd-to-end responsibility and processing of invoices that relate to facilitiesThe key point of contact for all staff, services and suppliersActioning daily tasks including the distribution of milk, snacks and the replenishment of kitchen suppliesReviewing functionality of all equipment (excluding IT) and coordinating repairs when neededCoordinating the service of Zip Taps, coffee machine, dishwashers, white goods (day to day appliances)Managing projects such as renovations, refurbishments projects and office movesCoordinating the implementation of building projects with the Senior Director, Total Rewards & People OperationsRun routine maintenance inspections and oversee maintenance staffManage all building and maintenance invoices and work with finance to ensure timely paymentsAdvise the building manager of plumbing issues, lift servicing, power and electricity outages and or any other building related mattersManage relationships with suppliers, contractors, cleaners, building management and staffCoordinate all business service requests, events and other special requests as requiredUpdate and maintain records/database to ensure accuracy for suppliersOwn the facilities manual and identify cost saving/operational efficienciesAssist UMA for internal events before, during and after eventSupport Mailroom Administrator and Front Office Manager as required, including daily coverage of reception and mailroom when other staff go on lunch breaksDevelop policies and procedures in order to improve the performance of the Facilities areaUpdate floorplans, phone lists and WHS processesIn partnership with building management, manage and own the fire evacuation drill calendarAbout you:Minimum 2 years experience as a Facilities ManagerOutstanding organisational & coordination skills with the ability to handle multiple projects simultaneously while meeting deadlines and working under pressureStrong organisational skills, the ability to multi-task is a must.Experience in negotiating the best price with suppliers (preferred)Excellent attention to detail, who is proactive in identifying and troubleshooting issuesExcellent verbal and written communication skills with the ability to work individually on a project or in a team environmentExcellent time management skills with a proven ability to meet deadlinesFully conversant with Microsoft applications, particularly Excel and Word.Systems proficiency (experience with expense systems such as SAP preferred!)Ability to quickly pick up and learn how to use process/systems.About us:Career opportunities fantastic opportunity to learn within a supportive, motivated and ambitious teamThe opportunity to join the WORLDS leading music companyAll the perks of working within the music industry (did someone say live music?)X 2 U-Days per calendar year to spend however you like!Strengths based learning and development opportunitiesMuch more.!At Universal Music we are committed to fostering diversity and inclusivity as an equal opportunity employer.
