With a focus on elevated, feminine, and wearable pieces, POSSE allows women to express themselves with a quiet yet powerful confidence.YOUR ROLE IN POSSEAs the Head of Production at POSSE, you will be responsible for overseeing all production activities and operations across the business. You will maintain strong communication and build relationships with both our local team and offshore suppliers, as well as other external partners involved in the production process. Your primary responsibility will be to plan and manage the businesss critical path, ensuring seamless production planning and scheduling, while continuously identifying opportunities to improve efficiency and effectiveness within the production line.A key aspect of this role is supporting the growth of POSSE by expanding production capabilities and leading the development of the production team. You will also work closely with the design team, providing support on a day-to-day basis and ensuring the execution of key production projects throughout the year. In addition, you will resolve production challenges and areas of conflict by making executive decisions, all while fostering a positive and collaborative work environment.This position is based at our Sydney Head Office on the Northern Beaches and reports directly to the Director, while working closely with the Head of Design and Product. As part of the role, you will be required to travel to offshore factories as needed, ensuring smooth operations and maintaining strong supplier relationships. This is a full-time role.As a key member of the POSSE team, you are expected to uphold, safeguard, and promote the companys core values, particularly those relating to ethics, integrity, and responsible behaviour.OUTLINE OF DUTIES:Below is an overview of day-to-day duties and department ownership. From time to time, you will be required to take on responsibilities that are not listed below, as one-off projects or unusual circumstances arise.Pre-Production and ProductionLead and implement strategic initiatives to streamline processes, set critical path dates, and improve end-to-end processes across all business departments.Build and maintain strong relationships with suppliers, ensuring products meet the brand''s vision and quality standards.Oversee the supply chain, ensuring vendors meet SEDEX and BSCI standards, conducting regular audits for compliance with ethical sourcing and sustainability requirements.Manage the business production calendar, ensuring timelines for production, manufacturing, and delivery are adhered to.Set development and production expectations with factories, collaborating to achieve optimal results for each collection.Develop and maintain a Supplier Sustainability Manual, ensuring suppliers meet sustainability goals.Lead the timely development and delivery of prototypes, ensuring adherence to design specifications and quality standards.Oversee the onboarding process of new manufacturers, negotiate payment terms, and evaluate supplier relationships regularly.Resolve any production issues to ensure on-time delivery.Ensure pre-production activities (including material sourcing and sampling) stay within budget while maintaining quality.Work with design, marketing, and logistics teams to align product timelines and ensure smooth execution.Identify and address risks that could impact production timelines, quality, or costs, and develop contingency plans.Oversee the use of production management systems, ensuring data sharing and project tracking across teams.Lead initiatives to train and develop the production team on industry standards and sustainable practices.Financial Planning and LogisticsAssist with freight and 3PL analysis across service areas, ensuring cost-effective solutions and operational efficiency.Manage all aspects of import and export logistics, ensuring smooth customs processes and international trade compliance.Oversee inbound and outbound logistics for both eCommerce and wholesale channels, optimizing cost and delivery timelines.Lead financial planning for annual freight and 3PL forecasts, analysing data to inform budget planning.Oversee WMS and inventory planning to support business growth, particularly for Wholesale ATS and future store expansions.Implement strategies to reduce the companys carbon footprint within freight and distribution processes, aligning with sustainability goals.Identify cost-saving opportunities in logistics and freight while ensuring high service quality.Fabrics and Trim Management/ApprovalsCollaborate with the design team to select cost-effective fabrics for collection development, ensuring alignment with design vision, budget, quality, and sustainability standards.Create and maintain bulk master fabric and accessory files for each season.Ensure timely approval of all bulk and sample fabrics, trims, and accessories, ensuring they meet quality standards and brand specifications.Ensure that sampling and bulk fabrics are submitted with standard fabric test reports and care instructions from the supplier.Ensure that all samples undergo appropriate wash testing, including shrinkage and care checks, before moving to production.Lead the integration of sustainable fabric options into the product range, keeping the company at the forefront of eco-friendly fabric innovations.Labelling and PackagingCreate and approve care labels, barcodes, and packaging for each season, ensuring compliance with brand specifications and regulations.AdministrationEnsure accurate and timely entry of all POs and sample invoices into the IMS system, tracking each order efficiently.Regularly update product data in the IMS system, ensuring real-time tracking and accuracy.Monitor and update product costings in the IMS system to ensure purchase orders match received invoices, resolving discrepancies promptly.Maintain clear communication with factories through calls, emails, and WhatsApp for efficient collaboration and issue resolution.Coordinate travel to offshore factories as required to oversee production and maintain strong supplier relationships.Collaborate with freight forwarders and warehouses to manage delivery schedules and ensure bulk shipments are efficiently coordinated.Track inventory levels with the warehouse team to align materials with production schedules.Generate and maintain detailed production reports and documentation for senior management, ensuring clear updates on timelines and potential delays.Ensure all production paperwork, including invoices, packing lists, and shipping documents, are accurate and on time.Monitor and analyse production performance data, implementing corrective actions when necessary to address inefficiencies.Support budgeting and forecasting processes, ensuring production costs, shipping expenses, and operational costs remain within budget.Costing & PlanningAllocate styles and products to appropriate factories, matching products with the right production capabilities and timelines.Oversee all aspects of seasonal production allocations, including cost management, forecasting, and scheduling.Monitor key milestone dates throughout the production cycle, communicating progress to relevant stakeholders.Distribute capacity plans to manufacturing partners on an annual basis, ensuring alignment with production needs.Manage and maintain purchase orders (POs) to factories, including pre-production orders.Negotiate payment terms, prices, quantities, and delivery dates with suppliers, securing the best terms while maintaining supplier relationships.Oversee costing negotiations to meet margin expectations while balancing cost efficiency with product quality.Manage invoice processing against approved costs and POs, ensuring timely payment to avoid production delays.Fitting & Quality Control (QC)Ensure consistency of the POSSE size and fit guide across all factories and garments.Oversee fit comments and changes communicated to factories during production.Manage the approval process for pre-production samples (PPS), top-of-bulk samples, and shippers.Ensure final production quality meets the highest standards, delivered on time.Implement processes to reduce return rates by focusing on improving product quality and customer satisfaction.Maintain inventory and liability reports, tracking non-compliance and returns due to quality issues, collaborating with factories for resolution.Manage the "Return Audit" seasonal project to improve quality and fit issues, ensuring continual improvements.Indicative RequirementsStrong ability to handle multiple tasks and work under pressure to meet deadlines.Highly detail-oriented and organised, with the ability to anticipate problems and provide solutions.Effective communication skills, both written and verbal, with strong interpersonal skills.Proven experience in price negotiation and cost-saving initiatives.Solid knowledge of woven and knitted fabrics.Proactive in
