Apply today!Executive Assistant - Position SummaryThe Executive Assistant is responsible for providing comprehensive support to Saltires Managing Director and senior managers. The role is critical in ensuring the efficiency and effectiveness of the Managing Directors activities and the smooth operation of the office. This position demands a high level of organisation, discretion, and the ability to manage multiple tasks simultaneously.Key ResponsibilitiesAdministrative Support: Manage the Managing Directors calendar, schedule meetings, handle correspondence, and maintain office systems. This includes organising and preparing documents, reports, and presentations for meetings.Communication Management: Act as the primary point of contact between the Managing Director and internal/external stakeholders. Handle incoming and outgoing communications, ensuring that messages and requests are addressed promptly and professionally.Travel Coordination: Arrange travel plans, itineraries, and accommodations for the executive and Senior Managers. Prepare travel expense reports and ensure compliance with travel policies.Project Management: Assist in the planning and execution of projects, ensuring deadlines are met and objectives are achieved. This includes coordinating with team members, tracking progress, and reporting on project status.Meeting Coordination: Organise and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all meeting logistics are handled efficiently.Confidentiality: Handle sensitive information with a high level of discretion and confidentiality. Maintain the trust and confidence of the Managing Director and the organisation.Office Management: Oversee the day-to-day operations of the Managing Directors office, ensuring a well-functioning environment.Event Planning: Plan and coordinate events, such as conferences, workshops, and corporate gatherings. Ensure all aspects of the event are managed effectively.Research and Analysis: Conduct research and analyze information to support the Managing Directors decision-making process. Prepare detailed reports and summaries as required.Relationship Management: Build and maintain positive relationships with key stakeholders, both within and outside the organisation. Familiarity with office equipment and technology.Organisational Skills: Exceptional organisational and time-management skills. Ability to prioritize tasks and manage multiple responsibilities effectively.Communication Skills: Excellent written and verbal communication skills. Ability to interact professionally with a diverse range of stakeholders.Problem-Solving Skills: Strong problem-solving and decision-making abilities. Ability to think critically and provide innovative solutions.Interpersonal Skills: Strong interpersonal skills and the ability to work collaboratively with others.
