Job Description

We are seeking a reliable and detail-oriented Administrative Assistant / Client Services Assistant join our passionate team and manage front desk operations. This role provides high-level administrative support to our accounting team and as the first point of contact for visitors and clients, assists in delivering exceptional service to our clients.The ideal candidate will be the first point of contact for visitors and clients, handle day-to-day office tasks, and support various departments to ensure smooth business operations. The candidate will possess strong organisational skills, professional communication abilities, and a keen interest in supporting accounting operations.About YouHigh school certificate (WACE), TAFE or equivalent.Experience as an administrative assistant, receptionist, or similar role advantageousProficient in Microsoft Applications and IT is desirable.Excellent verbal and written communication skills.Strong organisational and multitasking abilities.Professional appearance and demeanour.Ability to handle confidential information with discretion.Preferred SkillsKnowledge of office management systems and procedures.Familiarity with Xero, XPM, FYI an advantage.Key ResponsibilitiesGreet clients and visitors; manage calls, emails, and reception duties with professionalism.Maintain meeting rooms, common areas, and kitchen to ensure a tidy, welcoming environment.Handle incoming/outgoing mail, packages, and deliveries.Coordinate client appointments, calendars, and meeting logistics.Assist with new client onboarding, data collection, and system setup.Prepare and manage engagement letters, agreements, and client records.Ensure secure and accurate handling of confidential financial documents.Update and maintain client information in practice management systems.Support billing, time tracking, and client account administration.Assist with document preparation, presentations, and event coordination.Provide support to the Practice Manager and broader team as needed.Why Join Us?On-the-job training and continuous learning opportunities.Career progression pathways within a supportive firm.A positive team culture with a focus on community engagement and giving back. #J-18808-Ljbffr
