DescriptionJob SummaryResponsible for supporting the Sales Manager with general sales operations activities.Essential Duties and ResponsibilitiesProvide administrative support of sales in coordination with operations, services, procurement and financeAssist with process improvement messaging and managementSupport sales communications and planning, including assisting with content and distributionAssist with market data research as neededCoordinate with training to ensure new hire trainingAssist SVP with special projects and assignments by executive leadershipCoordinate meeting schedules between sales leadership and SVP of Sales as well as customersAssist sales leadership with strategic initiativesAssist in coordinating and planning events for all sales meetingsEnsure seller compensation plans, commissions and bonus tracking are in placeDistribute sales and reporting metrics including:FP&A and Sales Ops reportsLORP tracking and RFP response dataService renewalsState contract quarterly reportsAnswer/route incoming phone callsProcess and distribute incoming/outgoing mailAssist Account Managers with sales paperwork including proposals and bidsRegister new vendors, setup jobs and submissionsResearch and contact vendors for part numbers, pricing and compatibilityProvide various administrative support including but not limited to:tracking shipmentsSubmitting RMAs,Compiling equipment lists for service renewalsRequesting certificates of insurance/bondsCompiling proposal logsOther duties assigned as neededSkills and AbilitiesAbility to balance multiple tasks with changing prioritiesAbility to work and think independently and ensuring to meet deadlinesDemonstrated ability to maintain strict confidentiality and handle sensitive matters with discretionExcellent attention to detailMust have clear and professional communication skills (written and oral) both internally and externallyEffective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organizationDemonstrated customer service focus and client communication skillsAbility to handle sensitive and confidential informationEducation and/or ExperienceMinimum of a High school Diploma or equivalentMinimum 2-4 years of experience with office administrative functions preferredIntermediate proficiency with demonstrated experience utilizing office suite (Word, Excel, Powerpoint)Working EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
