Job Overview: The Administrative Assistant/Receptionist will be the first point of contact for students, staff, and visitors. The role involves managing reception duties, providing administrative support across departments, and ensuring a high level of customer service is delivered at all times. Key Responsibilities Generate, gather, process and maintain student documentation; Check whether the required documentation has been attained for each student and whether the contents of the submitted documentation have been satisfactorily completed, as per requirements; Update and maintain student information in the Student Management System; Update the tracking sheet after an intake passes the census date; Organise and provide Trainers with resources for students (i.e. Victorian Training Guarantee (VTG) apprentices and trainees); Monitor and manage students to ensure satisfactory course progress, through maintaining ongoing communications and ensure interventions are implemented where necessary; Collect, update, process and maintain student course progress records, in liaison with the respective personnel; Provide the respective personnel with status updates (i.e. Trainers and Marketing and Sales staff); Process student withdrawals, refunds and VFH debt remittance requests accordingly, in liaison with the respective personnel; Ensure accuracy of student data by continuously updating it in the event of any variations to students records (i.e. withdrawals, etc.); Collect, update, process and maintain student class attendance records, in liaison with the respective personnel; Conduct student surveys and maintain the results, in liaison with the respective personnel; Build relationships with students through various communication methods such as sending them magazines and newsletters; Assist in the preparation of student events, such as preparing student packs for Orientation day; Key Selection Criteria Minimum 1 year of experience in an administration or receptionist role, preferably in an educational or service-based organisation. Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy. Excellent communication and interpersonal skills. Strong attention to detail and organisational abilities. Ability to prioritise tasks, manage time effectively, and work independently. Friendly, professional demeanor with a proactive approach to problem-solving.
