We manage the Country Regional Network, ensuring safe transportation of people and goods across NSW.Job PurposeThe Executive Assistant and Office Manager will be accountable for the delivery of administration and secretarial support to the Senior Leadership Team (SLT). This accountability will specifically include the provision of confidentiality in all matters sensitive to this position and the expedient and proficient execution of all duties relevant to this role.Key ResponsibilitiesGreets all visitors and makes them feel welcome to UGL Regional Linx.Communicates in a positive and professional manner in all interactionsScreens and takes messages and makes phone calls on behalf of the management teamCreates and edits documentation, correspondence, emails and presentations on behalf of the management teamEstablishes and trains the Administration Assistant on general office protocols.Coordinates and manages the workload of Administration Assistant as it relates to interoffice functions (ie. phone coverage) to ensure equitable and efficient distribution of responsibilities in the running and representation of the office.Recommends training and professional development opportunities for Administrative Assistant.Provides backup to Administrative Assistant when required.QualificationsMinimum of 3 years previous experience in an Executive Secretary / senior Team Assistant or Personal Assistant role.High emotional intelligence with interpersonal skills and the ability to deal with difficult people and situations.Able to always interact at all levels in a professional and respectful manner.High competency in the Microsoft Office Suite of Packages, MS Word, MS Excel & MS PowerPointAbout UsUGL is renowned for providing comprehensive engineering, construction, and maintenance services across various sectors, including rail and transport, communications and technology systems, oil and gas, power, renewables, water, and defense.
