The purpose of this role is to manage a portfolio of client facilities, consult with client stakeholders on items for resolution, and prompt action of those items using an established contractor network.Job DescriptionKey Responsibilities:Reporting to the Account Manager, the Facilities Manager is responsible for an assigned portfolio of client properties.The properties under management can range up to 250 sites depending on type and size.Conduct comprehensive annual property inspections, including NABERS Assessments.Act as the initial and critical point of contact for all reactive maintenance works, 24/7.Manage and communicate critical incidents and recovery plans to stakeholders.Initiate contact with contractor Subject Matter Experts and crisis management groups to feed into the business Crisis Management Team if required.Maintain high-quality facilities through diligent reviews of all maintenance activities, including audits and vendor performance meetings for reactive and programmed works.Attend regular team, partner, and stakeholder meetings with a focus on Service Excellence.Interface between the Landlord and the clients operational activities, including attending LL meetings and reporting as required.Monitor and assess completed sub-contractor works to ensure delivery as per the SLA and compliance standards.Establish, maintain, and manage the asset lifecycle plan for all plant and equipment as per Lease Agreement obligations, ensuring the Asset Register is current.Provide technical expertise and advice on critical infrastructure and hard FM services.Induct contractors and ensure all compliance and legislative requirements are met and maintained.Focus on innovation and continuous improvement in processes and services.Develop an annual ground-up budget for sites, including periodic reforecasts, investment planning, and maintenance (reactive and planned).Monitor system transactions and documentation to ensure data integrity and KPI compliance.Assist with audits, including spot-checks of transactions and documentation for data accuracy and process adherence.Leverage technology to enhance performance and efficiency.Maintain up-to-date process documentation, database, and filing systems.Manage invoice approvals, reconciliation of reactive maintenance invoices, and handle invoice exceptions.Oversee financial management related to reactive and planned maintenance, including reporting and P&L statements.Support peers and cover duties as required.Represent the business professionally at negotiations, conferences, and official occasions.Ensure compliance with health, safety, and environmental policies and procedures.Operate to minimize environmental impact of activities.Prepare detailed business cases when required.Build and maintain strong relationships with internal shared services and property services teams for effective service delivery.Promote a one team culture.Manage Work Orders efficiently, aiming for closure within 30 days.Perform any other duties necessary to fulfill the role.Background and ExperienceMinimum 3+ years experience in Facilities Management.Knowledge across a broad range of property activities is essential.Strong client focus and customer service skills are essential.Ability to act on client instructions and achieve results.Ability to work independently and as part of a team, both locally and internationally.Proven track record of meeting or exceeding KPI targets.Required Qualifications:Must hold or be willing to obtain security clearance.Technical or onsite management background (optional but preferred).Attention to detail, planning, and organizational skills.Effective communication and business writing skills.Proficiency in systems and data management.Organisational Core Capabilities:Best Thinking: Strategic thinker, thought leader, commercial awareness.Best Results: Delivers extraordinary results, leads through change, demonstrates inspirational leadership.Best People: Customer service excellence, self and team development, collaboration. #J-18808-Ljbffr
