Join a global government agency with a meaningful mission: to connect people and opportunities with Singapore at its heart.Our client are seeking an Executive Assistant to support their Regional Director here in Sydney. This role offers a unique opportunity to shape and support their mission to build a vibrant global community connected to Singapore.About the RoleAs Assistant to the Director (AD), you will play a vital role in driving the operational and community engagement efforts of our client in Australia. Youll provide high-level administrative and events support to the Regional Director and act as a key liaison between stakeholders across Australia and Singapore.Due to the involvement with Singapore the client are eager to meet candidates who have ties to Singapore especially those who have lived or worked in Singapore, whilst also having a strong understanding of Australia.Small team just 2 people based in Australia Headquarters in Singapore.This is a hybrid position based in Sydney, 3 in-person workdays per week at a co-working space, and 2 days WFH.Key ResponsibilitiesClient & Partner EngagementSchedule and coordinate meetings with external clients and partners.Prepare briefs and materials to support engagements.Support post-meeting follow-ups and relationship development.Conduct market scans and desktop research as needed.Event ManagementPlan and execute events end-to-end (30400+ attendees), including venue sourcing, vendor coordination, RSVP tracking, on-site support, and post-event reviews.Coordinate logistics for major community and business engagement events.Executive SupportManage the Directors calendar and travel arrangements (including flights, accommodation, and logistics) as well as bookings for key stakeholders travelling from Singapore.Coordinate domestic & international trips and ensure smooth operations during principal visits.Serve as the main point of contact for inter-office communication across time zones.Who Were Looking ForYoull thrive in this role if youre:A strong communicator (written & verbal) with excellent interpersonal skillsHighly organised and detail-oriented, able to juggle multiple prioritiesTech-savvy, comfortable with tools like Salesforce, event platforms, and social mediaA self-starter who works independently and takes initiative without needing micromanagementConfident representing a government agency in external-facing situationsKey RequirementsMinimum 3 years'' experience in executive support, event coordination, or business operationsPrior exposure to Singapore or regional/global networks is highly desirableWillingness to attend occasional evening or weekend eventsAbility to travel 12 times per year to SingaporeWhy Join Us?Youll be part of an exciting global network committed to meaningful community building and international collaboration.
