We approach our work in a warmer, more optimistic, and inclusive way.JLL is a global leader in helping clients envision where people will live, work, play, shop, and eat.What this opportunity involves:The Assistant Facilities Manager will assist the Senior Facilities Manager (SFM) in managing the tactical delivery for the technical/engineering services for the assigned facilities, and be the on-site key technical point of contact for the key stakeholders &/or client in the absence of the SFM. Responsibilities include facilities management, technical support, critical environment management, client relationship management, incident investigation and reporting, root cause analysis of faults, asset management, site budgets, accounting and finance, maintenance and operations, contract services, purchasing of materials and supplies.This role has core hours of 8:30am to 5:00pm, Monday to Friday, with after-hours support for maintenance supervision and on-call functions.Overview of the role:Client/Stakeholder ManagementDeliver excellent customer service to meet on-site client expectations.Build and develop effective relationships with key stakeholders and/or clients across all levels.Monitor procedures to ensure client expectations are conveyed and addressed.Site Operations ManagementImplement industry best practice operations.Assist and monitor to ensure all building procedures and performance measures are maintained.Assist the SFM to meet Critical Environment (CEM) requirements, including inspections and supervision.Compile service dockets and other information for monthly/quarterly engineering reports.Assist with management of change requests, including documentation review and submission.Manage the 360 maintenance tool asset database.Seek ways to reduce costs and improve standards.Manage as-built documentation, including review and updates.Provide first response to helpdesk requests, assessing client needs and managing vendors.Be available for 24/7 emergency support and site attendance.Supervise monthly PPM activities and reactive works out of hours.Provide backup helpdesk support during specified hours.Procurement & Vendor ManagementManage multiple vendors to deliver services on time and within budget.Handle procurement processes per client guidelines and best practices.Contracts ManagementEnsure contracts are delivered professionally, cost-effective, and compliant with the Code of Ethics.Obtain multiple quotes to ensure value for money.Monitor contract expiry and initiate re-procurement as needed.Continuously assess contracts for best value.Finance ManagementEnsure financial operations meet targets and control requirements.Assist with financial processes, including accounts payable.Health & Safety ManagementWork safely, protecting own and others'' health and safety, complying with policies and guidelines.Risk ManagementImplement and maintain the JLL Operational Risk Management program.Follow escalation and incident reporting procedures.Ensure compliance with business conduct guidelines.Achieve KPIs and SLA targets.Ideal Candidate Profile:Minimum 5 years'' experience in facilities, property management, hospitality, or related fields.Trade qualifications or tertiary qualifications in Engineering (Electrical or Mechanical).Experience managing critical environments, preferably in banking.Knowledge of health and safety regulations and critical facilities.Vendor management experience for specialized services.Understanding of technical property systems (e.g., CRAC, Chiller, Fire Protection, BMS).Proven ability to interpret commercial contracts.Strong budget and financial analysis skills.What We Offer:Join an inclusive culture where excellence is celebrated.
