Experience with school administration practices is highly regarded.The successful applicant will be subject to a Working with Children Check and a National Police Record Check.Key Internal Liaisons: MACS Finance Business Partner, Leadership TeamConditions: Conditions are as per the Catholic Education Multi-Enterprise Agreement 2022Hours: FTE 0.6General Administrative Duties Welcome all visitors to St Columbas ensure all visitors sign in and out when on the school premises. Take and deliver messages in a timely way and refer enquires to appropriate person/s. Ensure that emails/mail are attended to during the day. When required book suitable transport for school sports and excursions and confirm bookings for excursions/incursions. Assist with First Aid/sick bay duties and contact parents as needed. Assist with the completion of school surveys and questionnaires for the MACS, and Department of Education. Ensure the roll is marked in the morning and afternoon. Back up for other admin assistant re: Update all Student information on ESIS Share roles and responsibilities in the school as directed by the principal. Coordinate and complete information relating to census data and funding applicationFinance Raise purchase requisition and receipt purchase order. Upload invoices to MACS Shared Services (MACS SS) Accounts Payable for payment. Coordinate and complete information relating to staff, payroll and timesheets to ensure accurate timely submission to MACS Shared Services. Undertake the processing of School records on all sick leave data, update and provide accurate information to the Principal. Manage bank accounts and ensure all receipting and banking of cash/other receipts of monies accounted for, including coding of Schools credit card transactions Ensure school fees and levies are reconciled monthly and resolve any discrepancies Collating Parents and Friends Association (PFA) documentation. Monitor and update Teachers/Curriculum/Excursion Budgets versus actual. Complete Fixed Asset addition/ disposal form to MACS SS to update Fixed Asset Register. Lodge monthly PAYG and BAS with the Australian Tax Office (ATO) based on reports provided by MACS SS Tax Team. Complete payment of Union Fees Complete Year End E-SIS rollover process. Understand and keep abreast re updates of the MACS Finance Procedures Manual and ensure procedures are followed throughout the year to ensure efficient annual audit process.Debt Management Coordinate and manage the billing of school fees and levies and arrange for the Statement to be sent to families each term. Undertake dealings with families on all fee queries and payment terms. Manage outstanding debtors in accordance with the MACS Fee Collection Policy. Chasing Outstanding Fees each Month/Term. Includes letters, email and phone calls - documenting and tracking all correspondence. Liaise with Debt Collection Agency providing monthly update to Principal and Finance Business Partner. Support families to apply for the CSEF Program if eligible.Staffing Administration Collate relevant documentation required for onboarding new staff. Maintain staff records as required. Process Long Service and Parental Leave requests. Support staff with Workcover claims.Finance Cluster Meetings/Professional Learning Attend ICON Professional Learning and MACS SS refresher courses as required.
