With a degree of autonomy, the Program Coordinator is responsible for collecting, reviewing, and analyzing data to support internal and external clients effectively. The primary objective is to facilitate the successful management of programs, ensuring adherence to organizational standards.Key ResponsibilitiesSupports department and division goals by proactively streamlining productivity with proposals, business planning, client interactions, and day-to-day operational tasks. Works closely with Program Manager, Project/Technical Manager to assist with client needs, including client and internal meetings to monitor contract specifications, budget, and time commitments.Coordinates project duties, timelines, and requested reporting for internal/external clients, including QA/QC review, project schedules, cost estimates, travel and off-site meeting arrangements, etc. Provides financial reporting assistance, project setup, billing assistance, and invoice reviews in coordination with Accounting and Project Managers.Assists in building positive relations within internal and external teams.Coordinates schedules and file sharing, compiles & assembles reports, manages large production jobs, prints & binds proposals, logs RFIs & submittals.Works closely with Program Manager/Project Managers to schedule, organize, and attend meetings/events, maintain agendas, and record meeting minutes.Interacts professionally with clients, vendors, and other external sources. Develops and maintains client relationships.Manages workload by prioritizing work and ensuring deadlines are met.Displays a solid understanding of the technical and business decisions of the company.Education and ExperienceAssociate or bachelors degree in business administration, Project Management, or a related field.Minimum of seven (7) years in a project or program coordination role, with experience managing budgets and timelines in a client-facing environment.Licensure/Certification: N/AQualificationsProven critical thinking and problem-solving skills.
