The role entails providing efficient project, administrative and executive support to STEP UP, its associated activities and tasks and its executive team, as well as responding to enquiries using judgement and initiative while employing considerable technical skills and discretion when making decisions. The role reports to the co-chairs of STEP UP and has no direct reports.Accountabilities(please review the Position Description for a full list of Accountabilities)Support the delivery of the STEP UP Initiative by coordinating the project including overseeing administration of practices and reporting systems and undertaking all required tasks to facilitate its effective operations.Provide project support in the delivery of STEP UP programs, activities and tasks; undertake ad hoc projects as required, including but not limited to, assistance with reports, presentations, awards and grant writing.Proactively provide high level and seamless project and executive support to STEP UP co-chairs, whilst exercising discretion, initiative and confidentiality at all times.Assist in the implementation of policies, guidelines and procedures, and play a leading role in their application to ensure the effective operation of the STEP UP Initiative.Act as the primary contact for key internal and external stakeholders, maintaining effective channels of communication, analysing requests and correspondence to prioritise priorities as well as urgent and often sensitive matters.Perform finance administration requests in line with program budgets including but not limited too purchasing, managing travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.Provide secretarial support to meetings as required, including coordinating and planning meetings, compiling agendas and other documents, preparing minutes and following up on allocated or outstanding meeting tasks.Undertake diary, email and document management, including assisting with the preparation of email responses.Provide efficient program support and coordinate events such as conferences and award ceremonies where required.Manage social media presence and accounts to maintain the profile of the STEP UP Initiative.Skills And ExperienceTo be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.(please review the Position Description for a full list of Skills and Experience)Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.Excellent time management and organisational skills, and the ability to work well under pressure and manage multiple tasks, potentially related to sensitive and confidential matters, with competing deadlines.Ability to liaise effectively with all levels of staff and external stakeholders.Highly advanced written and oral communication skills, with the demonstrated ability to develop high level correspondence and strategic documents (e.g., reports, presentations, awards and grant applications) and to research and analyse data and integrate information from a variety of sources.
