For more information on Special Measures plans, goto the OCPE website.Primary objectiveAs part of a team, provide a quality professional secretarial and administrative support services to the Legal Services Division.Context statementLegal Services Division comprises of the Solicitor for the Northern Territory (Commercial and Litigation), and Legal Services andPolicy Coordination. This position will work as part of the administrative team and provide secretarial support services to the LegalOfficers.Key duties and responsibilitiesProvide a quality secretarial and administrative support service to legal officers located in the Division as required.Depending on the needs of the Division, this could include the preparation of court documents, ministerial documentation,commercial legal agreements, contracts and general correspondence, from either electronic transcription, handwritteninstructions or templates.Respond to telephone enquiries, liaise with clients, assist visitors and represent the Department in a professional manner.Register a range of incoming and outgoing documents using a records management system.Organise official travel and accommodation and maintain electronic diaries for legal officers.Manage a range of concurrent activities in a timely and efficient manner, with minimum supervision, ensuring that deadlinesare adhered to.Update databases and undertake minor research tasks as required.Provide support to the Executive Assistant as required.Selection criteriaEssentialDemonstrated experience providing a range of administrative support functions and the use of various office equipment andsystems, such as email, word processing and electronic file management.Sound written, oral and interpersonal communication skills, with the ability to interact effectively with people from diversecultural, religious, and socio-economic backgrounds.Sound organisational skills with a proven ability to determine workload priorities, meet stringent deadlines and capacity towork under pressure.Professional and courteous communication skills with the ability to contribute to, and work as, part of a professional team.High level of self-management including ability to work with minimum supervision, use initiative and display sound professionalethics of confidentiality and discretion.DesirableKnowledge of legal document preparation, and an understanding of legal terminology, procedures and processes or ability toquickly acquire such skills.Further informationThe successful applicant will be required to undergo a criminal history check.
