This is a pivotal role that helps ensure the smooth day-to-day operation of the Preschool, providing frontline support to families, staff, and the broader College community. The position is permanent part-time, working 25 hours per week, Monday to Friday from 8:15 am to 1:00 pm, for a total of 41 weeks per year.As the first point of contact in the Preschool foyer and over the phone, the successful candidate will play a vital role in creating a warm, welcoming, and well-organised environment. The role also supports the Preschool Management Team and teaching staff with a broad range of administrative tasks, enrolment processes, and communication responsibilities.Key Responsibilities:Greet and welcome families each day, manage incoming calls, emails, and over-the-counter enquiries.Maintain accurate student and family records using Synergetic, Xap, and other College systems.Assist with enrolments, waiting lists, and student transitions.Manage and follow up on immunisation records, student medical documentation, and risk minimisation plans.Assist in planning and coordinating events such as graduation, parent information nights, and photo days.Monitor and follow up family fee accounts and manage holiday program bookings and staffing.Communicate effectively with families using EdSmart, Synergetic, and other tools.Handle general administrative tasks including mail, filing, stationery orders, and purchase orders.Coordinate maintenance and IT requests as needed.Support classroom staff with occasional tasks such as lunchtime supervision or special event support.Skills and Attributes:Strong communication and interpersonal skills, with a warm and professional approach.High level of computer literacy and ability to learn new systems quickly (experience with Synergetic and Xap highly regarded).Excellent organisational and time management skills, with attention to detail.Ability to work independently and collaboratively as part of a team.Previous experience in an administrative or school setting is preferred.Approved Early Childhood qualification e.g., Certificate III or Diploma; or be willing to undertake supported Certificate III studies is highly desirable.Why Join Us?Be part of a vibrant, caring early learning environment.Enjoy variety in your day-to-day tasks and meaningful interactions with families and children.Join a supportive and values-driven College community.Competitive salary and benefits package.Professional development opportunities were invested in your growth.How to Apply:To be considered for the Preschool Admin Support position, please lodge your application by clicking ''Apply Now'' below.Online applications should be addressed to:Mr Nick HatelyHead of Trinity CollegeInterviews and appointment of a suitable candidate will occur as applications are received.
