A thrilling opportunity has opened up for a permanent full-time Ships Agency and Coal Logistics Administrator to become part of our team in Newcastle, Australia.This is a dual role where you will spend 3 days as a Ships Agent Administrator and 2 days as a Coal Logistics Administrator each week.Main responsibilities as Ships Agency Administrator:Assist with data entry and manage tasks within the company portal (WASP) with training provided.Create pro-forma disbursement accounts and handle crew/spare service requests.Submit ABF forms for spares delivery and crew changes, and coordinate crew transport bookings.Perform general administrative duties, including filing, archiving, and document management.Provide support to Ship Agents in their daily operations.Main responsibilities as Coal Logistics Administrator:Ensure terminal reporting, stock availability, and compliance with shipment requirements are completed within set timeframes.Coordinate vessel berthing schedules, update clients on changes, and manage all related shipping documentation, including export declarations and compliance with IMSBC regulations.Prepare and submit required documentation, such as Shippers Declarations, Certificates of Origin, and laytime calculations, while addressing any queries or disputes.Liaise with superintending companies for stock movement reports and arrange courier services for shipping documentation as per client instructions.Maintain accurate records of communications and escalate issues to the Manager when necessary.Who You Are:You are a self-motivated, results-driven individual with a passion for achieving excellence.While prior experience or exposure to the Shipping Industry is advantageous, we welcome candidates with a strong work ethic and the right attitude to learn and succeed.Attention to detail, administrative proficiency, and a good grasp of computer skills are essential.You thrive under pressure, meet deadlines effectively, and approach challenges as opportunities for growth.Safety, compliance, and wellness are paramount to you and your team''s success.You must possess a valid Australian work permit, driver''s license, and driving experience, along with eligibility for a Maritime Security Identification Card (MSIC).What We Offer:A competitive base salary, plus superannuation, and other benefits including but not limited to laptop and mobile phone.A collaborative, diverse, and supportive team environment fostering growth and development.Access to modern training programs, advanced systems, and tools to enhance your skills and efficiency.Health and wellness support, including an employee assistance program for you and your family.About Wilhelmsen:Established in Norway in 1861, Wilhelmsen is a global maritime leader providing essential products, services, qualified crews, and technical management across 60+ countries.
