With a collaborative and responsive approach, we pride ourselves on continuous improvement, operational efficiency, and client satisfaction.About The RoleWe are currently seeking a highly motivated and organised Workforce Coordinator to join our Baseline Onsite team in a full-time capacity. This is a key operational role that delivers high-quality customer service and administrative support across workforce planning, recruitment, mobilisation, and compliance functions.You will work closely with the Head of Training, Project Managers, and the Clinical Operations Manager to help ensure staffing levels align with both business needs and service delivery objectives. This position also supports employee engagement through effective onboarding, training matrix administration, and relationship liaison.Key ResponsibilitiesCoordinate the end-to-end mobilisation of staff, including travel, accommodation, medical bookings, PPE, inductions, and compliance documentationSupport the recruitment process, including advertising, interviewing, reference checks, and onboarding administrationAssist in workforce scheduling and rostering for both rostered and ad hoc requirements, ensuring coverage across client sitesProvide general administrative support to Project Managers and Training Managers, including data entry, reporting, and documentation managementPrepare workforce coverage quotes under the supervision of the Project Manager, where requiredMaintain accurate and up-to-date employee records, including timesheets, training matrices, compliance documents, and onboarding materialsBuild and maintain strong working relationships with employees through regular engagement and supportLiaise with clients as needed to support workforce operations and maintain service consistencyEnsure all field staff have up-to-date onboarding and induction records to support complianceMaintain accuracy of information across internal systems (e.g. JobAdder, INX, MyPass, Fieldglass, Pegasus)Essential DutiesDeliver a consistently high level of customer service to both internal and external stakeholdersActively contribute to a collaborative team environment and drive service excellenceComply with privacy, confidentiality, and WHS policiesProvide after-hours support to clients and employees as requiredParticipate in regular employee engagement initiatives and review callsEscalate any service disruptions or compliance concerns to managementSupport WHS initiatives and help ensure a safe working environment for all staffQualifications And ExperienceMinimum 2 years experience in a workforce coordination, scheduling, or mobilisation roleCertificate IV in Human Resources (highly regarded)Experience in Health, Mining, or Labour Hire industries is highly desirableStrong skills in Microsoft Office Suite, particularly Excel, Word, and PowerPointExperience with systems such as JobAdder, XREF, VEVO check, INX, SAMS, MyPass, Fieldglass, PegasusKey Skills And AttributesExcellent organisational and time management skills, with the ability to manage competing prioritiesStrong attention to detail and a high level of data accuracyClear written and verbal communication skillsFlexible and adaptable in a fast-paced, dynamic environmentStrong interpersonal skills with a professional and client-focused attitudeAbility to maintain confidentiality and handle sensitive information with discretionCapable of working both independently and as part of a collaborative teamOther RequirementsCommitment to workplace health and safety (WHS) requirementsWillingness to take on additional tasks as required to meet operational needsA proactive attitude with a focus on continuous improvementWhy Join Us?At Baseline Onsite, youll be part of a dedicated and passionate team focused on delivering high-quality, responsive workforce solutions.
