The Operations Specialist is responsible for the provision of administration and operational support for the Tour Series team and assists in the creation and operation of truly inspirational travel experiences.This is an excellent opportunity for an experienced travel administrator who is looking to be part of a dynamic and high performing team, responsible for providing administrative and operational support to our tour series division.Key responsibilities include, but are not limited to:Confirm and reconfirm all services in an accurate and timely manner including Tour service, tour description, operational detail (dates, times, logistics), costs, terms and conditionsLiaise with suppliers, Tour Series Manager and Product team on any discrepanciesAction supplier release back dates and proactively communicate adjustments or cancellations to suppliers in line with agreed T&Cs to avoid penalties.Set up accurate and timely supplier pre-payment requests for management sign off.Produce final documentation, including guide letters, at a high level of quality aligned with company standardsPrepare and send all welcome packs to clients, guides, and hotels, ensuring successful and timely delivery.Coordinate with guides, including Meet and Greet personnel and Resident Tour Directors, ensuring they have accurate operational instructions.Ensure all necessary documentation and communication with guides are kept up to date.Coordinate and book pre/post tour accommodation and transfer arrangements for guests.Work closely with Tailormade Travel Consultants to address specific pre/post tour requests and ensure alignment between all booked arrangements.Assist with review post-tour questionnaires and feedback to assess the quality of services provided and contribute ideas areas for improvement.Work with the relevant teams to make adjustments based on guest feedback and ensure continuous quality improvement.Required knowledge and experience:Recent tourism qualifications or previous experience in the travel industryExperience in supplier management, travel operations, or related fields.Previous experience in a support role in tourism, groups or events preferredExperience working with or an excellent product knowledge of Australia and New Zealand is desirable.Proficient in Microsoft Office (Word, Excel, Power Point & Outlook)Experience using an in-house Reservations SystemHigh degree of attention to detail.Excellent communications skills both written & verbalStrong time management skills are essential.Team player is a must with an enthusiastic approach to the job.Willingness to take on challenges.Committed to the highest level of customer service.Ability to prioritise & work in a fast-paced environmentWhy work for A&K Travel Group?Our valued team of travel professionals across Australia and New Zealand each share a passion for making travel dreams a reality.
