Working with such an experienced and dynamic business, we are looking for someone who can add immediate value but also commit and grow with the business. You will enjoy the hard working and respectful culture of joining a prestigious business. You will already be working within Professional or Financial Services and looking for a step up. This is a very busy and fast paced role, with constantly changing agendas working with international time zones. Attention to detail is crucial as is a positive attitude. This role offers significant ownership, responsibility, and variety as you help to provide the administrative backbone and foundation to this high performing business. Key Responsibilities will include: Executive support to 4 Executives Diary Management Scheduling and organising meetings (including videoconferences) Travel management Expenses reconciliation Uploading board papers using Diligent Execution of agreements using Docusign Drafting professional emails, memos and communications Managing Front of House Meet and greet guests upon arrival, show them through to meeting rooms Manage meeting rooms and attendees Daily set up of meeting rooms and refreshing throughout the day Maintaining cleanliness in office, meeting rooms and kitchen area Organising lunches and coffees as required Providing tech support as required for presenting and conferencing in meeting rooms General Office Administration Office printing and binding as required Ordering office supplies including stationery, groceries and IT equipment Coordinating office suppliers including building management Assistance with event management Maintain filing system of company records Assistance with Employee Wellness benefits such as flu shots & skin checks To succeed with your application, you will ideally have: Proven success in supporting a team in an administrative capacity, preferably with Corporate experience The communication skills and maturity to build effective relationships with senior executives, clients and colleagues Proven ability to manage tasks with competing priorities and deadlines A proactive, one step ahead work ethic, can-do attitude and approach An outcomes-driven approach to work We are looking for a friendly, collegial team player, with proven integrity and professionalism.
