A role with unique responsibilities This is more than a typical Patient Services Coordinator role - the primary focus of this position is to provide dedicated secretarial support to one of our highly regarded IVF Specialists, while also assisting the broader Patient Services team when required. You will be the key point of contact for the specialists patients, ensuring a seamless and supportive experience from initial inquiry through to ongoing treatment. When needed, youll also contribute to front-of-house coordination across the clinic. Reporting to the Patient Services Team Leader, this role requires high-level administrative support, confidentiality, professionalism, and a strong patient-centred approach. Under guidance from your Team Leader, your responsibilities will include: Acting as the dedicated secretary for one IVF Specialist, including diary management, patient coordination, and specialist practice support Managing patient bookings and treatment schedules for the specialist, ensuring accuracy and timeliness Providing exceptional customer service and support to the specialists patients, building strong rapport and trust Supporting general reception and coordination duties across the clinic when required Triaging incoming calls and emails, prioritising based on urgency and relevance Accurate data entry and patient record maintenance within the practice management system Processing of medical billing and receipting in line with clinic procedures Delivering high-quality communication with internal teams and external stakeholders Contributing to a best-in-class patient experience at every touchpoint This role is performed between clinic hours of 7am to 5pm and includes occasional Saturday morning shifts (7am-12pm) on a rotating basis.
