About You : You possess a strong administrative background, ideally within a professional services environment. Experience in a legal secretary or personal assistant role will be preferred. Exceptional time management and organisational skills are paramount, with a proven ability to prioritise tasks and meet deadlines. You have a keen eye for detail and a high level of accuracy in all your work. Excellent written and verbal communication skills are essential. You are proficient in the Microsoft Office Suite. Experience with Legal software would be ideal but not necessary. You are a proactive and resourceful individual with the ability to work independently and manage responsibilities effectively. Strong interpersonal skills and a focus on providing excellent client service are highly valued. While not essential, some bookkeeping experience would be advantageous. Completion of a High School Year 12 certificate is essential. Prior administrative experience in a law firm is desirable. Position Summary : In this crucial role, you will provide comprehensive administrative support to our Partners and Lawyers. Key Requirements : Computer literacy: Competent with legal management software and Microsoft Office Suite. Verbal and written Communication: Excellent written and verbal communication skills. Attention to detail: High level of accuracy in all tasks performed. Customer service: Strong interpersonal skills with a focus on client satisfaction. Time management: Effective at prioritising and managing multiple tasks simultaneously. Word processing Skills: High speed and accuracy in typing and document preparation. Autonomous work: Ability to work independently while managing responsibilities. Job Responsibility : Managing communications with respect to legal files, including telephone calls, emails, and letters between various parties, and accurately recording these communications on file in accordance with the Firms policies. Drafting legal documents and correspondence, ensuring accuracy and timeliness. Diarising important dates and maintaining the diary of professional staff, including saving calendar dates in Leap. Professionally presenting all outgoing documentation in compliance with the Firms standards (mail register, affidavits of service). Maintaining effective filing and document management according to the Firms policies, including opening files, adding details, and preparing initial documents. Preparing and sending draft bills, closing, and archiving files as needed. Assisting with the preparation of administrative documentation such as reports, presentations, and briefs. Assisting with organizing meetings and events, both internal and external, and attending where required. Taking accurate and efficient minutes during meetings.
