Direct message the job poster from Candela MedicalGlobal Talent Acquisition | Recruitment Strategy | Human ResourcesResponsibilities include but are not limited to:As part of a collaborative cross-functional administration team, you will be required to provide a high level of administrative support to all areas across the business as required.Answer inbound callsRespond to enquiries from customers (both internal and external) on a wide range of matters and provide timely, accurate, and consistent advice and information on servicesAssist customers with Post Sales online orders when requiredMaintain office day to day functions including front desk functionsMaintain internal reportsEfficient management and processing of sales orders and quotes, including thorough review of data accuracy and auditor compliance ensuring all orders and documentation is auditor compliant, including collation of documentation for delivery of new devices according to state governments requirements (to prevent non-compliance issues and delays with deliveries) before importing quotation to sales orderIssue manual invoice according to customers requirementsCoordinate logistics of shipping devices to customers for sales and demo purposesInventory allocations when requiredIssue pick list to Inventory team in warehouseLiaise with internal stakeholders e.g. finance, sales and service to escalate customer account issues, including processing of credits, refunds etc.Manage returns and/or replacement of warranty claims, incorrect item orders etcManage and track shipped orders via appropriate tracking tools/softwareMonitor backlog reports to ensure orders are shipped and manage orders on backlogImprove and maintain data integrity in CRM and ERP systemsTriage service calls/emails and open cases and/or work orders to log the service callSchedule and dispatch our Field Service Technicians/ Engineers across ANZMaintain accurate database of installed equipment in CRMData entry of service contracts in service (ServiceMax) and accounting (Oracle) systems with follow-up through to invoicingCreation of service quotes for Time and Material transactions with follow-up through to invoicingProvide information to Director, Field Service ANZ/ Acting Country Managers as requiredBe an active contributor to continuous improvementKey Responsibilities and AccountabilitiesPromote Candela products and services in line with Candela values when dealing with internal and external customersAnswer calls in a courteous and professional mannerDisplay personal resilience and an ability to deal with challenging situationsCommunicate and liaise professionally, clearly, and effectivelyLog detailed information on calls receivedMaintain and update information in relevant programs, records and/or trackers in an accurate and timely mannerEnsure information regarding change is communicated to appropriate partiesPrioritize workload to ensure critical tasks are completed proficiently and professionallyEstablish and maintain effective working relationships with both internal and external stakeholdersMaintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant workplace health & safety proceduresPursue personal development of skills and knowledge necessary for the effective performance of the roleKnowledge/Educational RequirementsPrevious experience in customer service or office administration (5 yrs minimum)Enthusiastic about learning and detail-mindedStrong oral, written and interpersonal communication skillsProficiency in Microsoft Office applications, particularly ExcelStrong ability to work both as part of a team and autonomouslyAbility to work well under pressure and tight timelinesHigh level of accuracy and attention to detailDemonstrate first contact resolution of customer enquiries contributing to the overall positive customer experience.Previous experience with Salesforce and Oracle Cloud operating systems preferredStrong organizational skills and the ability to multi-task effectively, must be effective manager of timeProactive and solutions-driven with a positive attitude to challenges and demandsProvide a high level a support to internal and external stakeholders as requiredResilient to challenges and stress when facing competing prioritiesHighly flexible and adaptable to changing priorities and willing to take on new responsibilities and challengesA genuine desire to become part of a well-oiled team who pride themselves on their strong work ethic and customer focusThis job description is not all inclusive and is intended to capture a majority of the job functions.
