YOUR ROLE The Import Sea Coordinator at our Melbourne Airport offices receives, reviews and processes import documentation for incoming ocean freight using the companys freight-management system. The role expedites cargo release, prepares invoices for shipping charges, and accurately captures shipment data whilst ensuring compliance with regulatory standards and Good Distribution Practice (GDP) requirements for pharmaceutical and healthcare cargo. The role is offered on a permanent full-time basis, 38 hours per week. WHAT ARE YOU GOING TO DO? Specifically, you will: Process all import documentation and update system milestones accurately and on time, logging any customer- approved service variations (e.g. extended free-time or bespoke reporting) for reference and approval. Prepare shipment invoices, accruals and cost entries promptly, tracking billing-accuracy trends and noting variances for follow-up. Monitor operational and compliance reports, compiling a concise monthly exception summary for the Operations Manager and following through agreed corrective actions. Coordinate daily with overseas offices, carriers, customs brokers and service providers, escalating repeated subcontractor performance shortfalls and raising variation or penalty requests in line with local SOP. Track shipment status (ETAs, trans-shipments, temperature data) in the freight-management system to give customers clear, current information. Respond to customer and broker queries, arranging document release, customs clearance and delivery bookings as required. Check supplier invoices, requesting credits or adjustments where discrepancies are found, and updating the cost- variance note accordingly. Log and escalate shipment anomalies, damages or GDP non-conformances until resolved, leading basic root-cause reviews where necessary. Support continuous improvement activitiessuch as small system updates or efficiency drivesby providing operational data, working with IT and Quality teams during testing, monitoring impact over a short review period and sharing updated desk instructions with colleagues. WHAT ARE WE LOOKING FOR? Our ideal candidate has: Tertiary qualification in Logistics & Supply Chain or related field Minimum three years in ocean-import operations Daily use of an industry freight- management system (e.g., CargoWise or similar) Ocean-freight documentation and INCOTERMS Working knowledge of WHO GDP Temperature-controlled logistics Proficient with MS Office applications Clear written and verbal English Customer-centric approach Effective stakeholder engagement In addition to providing proof of work rights and suitable professional referees, progressed candidates will be required to undergo a medical assessment and national police check.
