Job Description

Kings Own Institute (KOI) is a leading private institution of higher education located in central Sydney and Newcastle, Australia, offering high-quality accredited diploma, undergraduate, and postgraduate courses in Accounting, Business, Management, Information Technology (IT), and postgraduate courses in TESOL (Teaching English to Speakers of Other Languages). Purpose To coordinate the student services processes for international and domestic students regarding attendance, complaints and appeals, interviews, academic progress, trimester breaks, leaves/absences, academic monitoring/intervention programs, completion, awards, and graduation. To work as part of a team providing high-quality, student-focused, professional, courteous, and efficient services. Support student engagement and well-being activities to enhance KOIs reputation, increase student numbers, and cater to student needs. Responsibilities Answer general information inquiries from current students, including guidance on attendance, assignment deadlines, trimester breaks, leave (medical, compassionate, medical certificates), timetable, academic, and graduation. Respond to all administrative complaints and appeals and escalate cases to supervisors/managers as required. Coordinate and manage students records and files. Monitor and follow-up with students to ensure adherence to study plans, attendance, breaks, award/course exits/withdrawals, transcripts, general student wellbeing, payment concerns, and other non-academic issues. Report student issues to appropriate departments for further action when necessary. Ensure student contact details are current in TechOne, and manage TechOne recordings for student completions, exit awards, transcripts, and graduation status. Assist in organizing and implementing graduation programs, awards, testamurs, catering, gowning, and logistics for graduation ceremonies. Plan and assist other departments (Marketing, Admissions, Academic, Finance and Accounts, IT) in preparing and managing student engagement activities, enrollments, orientation, and events. Perform all other tasks assigned by the Student Services Coordinator, Student Administration Coordinator, Senior Student Services Manager, Vice President (Student Affairs), Finance, and Accounts. Participate in development and training activities, including Cultural & Diversity Awareness, Compliance, and TEQSA requirements. Minimum Requirements At least two (2) years experience in a similar position within higher education or tertiary education providers. Proficient in reading and writing. Experience working with international students. Minimum of 1-year student services experience in an education provider or relevant field. Knowledge of Department of Home Affairs (DHA) visa regulations and ESOS regulations related to the higher education sector. Reside in Sydney, NSW. Have unrestricted working rights.
