They are seeking a skilled Administrative professional who can confidently handle inbound calls, liaise with stakeholders and is comfortable handling administrative activities in a precise and efficient manner.RESPONSIBILITIESAs part of a collaborative, cross-functional administration team, you will be expected to provide a high level of administrative support across all areas of the business as required.Answer inbound calls in a courteous and professional mannerRespond to enquiries from internal and external customers across a wide range of matters, providing timely, accurate, and consistent informationAssist customers with post-sales online orders when necessaryManage daily office functions, including front desk operationsMaintain internal reporting systemsProcess and manage sales orders and quotations, ensuring data accuracy and auditor compliancePrepare and verify documentation required for delivery of new devices in line with government regulations, prior to importing quotations into sales ordersIssue manual invoices as per customer requirementsCoordinate shipment logistics for sales and demonstration devicesPerform inventory allocations as neededIssue pick lists to the Inventory team in the warehouseLiaise with internal departments (e.g., Finance, Sales, Service) to resolve customer account issues, including processing credits and refundsManage product returns and replacements for warranty claims or incorrect ordersTrack and monitor shipped orders using relevant toolsManage the order backlog, ensuring timely shipmentImprove and maintain CRM and ERP data integrityTriage service calls and emails, opening work orders and logging service requestsSchedule and dispatch Field Service Technicians/Engineers across ANZMaintain accurate records of installed equipment in CRMEnter service contract data in both ServiceMax and Oracle systems, ensuring follow-through to invoicingPrepare service quotes for Time & Material transactions, ensuring follow-up to invoice completionProvide support to the Director, Field Service ANZ / Acting Country Manager as neededActively contribute to continuous improvement initiativesRepresent the companys products and services in a manner consistent with its valuesExhibit professionalism in all communicationsDemonstrate resilience and effective handling of challenging situationsLog detailed call information accurately and promptlyMaintain up-to-date and accurate program records and trackingEnsure effective communication around any changes to relevant partiesPrioritize tasks effectively to meet business-critical deadlinesBuild strong working relationships with stakeholders internally and externallyExhibit consistent and professional attendance, punctuality, and adherence to workplace safety standardsCommit to continuous personal development to enhance role performanceQUALIFICATIONSMinimum 5 years of experience in customer service or office administrationStrong attention to detail and a willingness to learnExcellent oral, written, and interpersonal communication skillsProficient in Microsoft Office Suite, especially ExcelAble to work autonomously and collaborativelyComfortable working under pressure and managing tight timelinesSkilled in conflict resolution and problem-solvingHigh level of accuracy and commitment to first-contact resolutionFamiliarity with Salesforce and Oracle Cloud (preferred)Exceptional organizational skills and time managementPositive, proactive mindset with a solution-oriented approachFlexible, adaptable, and open to new responsibilities and challengesA genuine desire to contribute meaningfully to the team and company successDURATIONFull-time, permanentSALARY$80,000-85,000 + bonus + superLOCATIONMelbourne - flexibility to work from home several days a week.Planet Pharma is an American parented Employment Business/Agency that provides global staffing services with its head-quarters in Chicago and our EMEA regional office located in Central London.
