This role contributes to the team''s commitment to continuous improvement, digitisation, and high-quality service delivery to both internal and external stakeholders.With exposure to a broad range of administrative responsibilities, the Commercial Administration Specialist will be required to manage competing priorities, demonstrate initiative, and maintain a proactive, solutions-focused approach. The successful candidate will be comfortable working both independently and collaboratively across multiple stakeholder groups.This position provides an opportunity to contribute to commercial operations, learn about business processes, and support senior leadership in a fast-paced, professional environment. The Commercial Administration Specialist role will involve performing routine activities and delivering accurate, timely, and relevant information, through collaboration with various departments, including operations, finance, and project controls, to ensure seamless coordination.ResponsibilitiesThe key responsibilities of the role will include, but is not limited to:Administrative Support Commercial Team:Manage and maintain Commercial Team SharePoint sites, including document control and access coordinationSupport commercial documentation and onboarding activities for suppliers or external stakeholders as requiredMaintain up-to-date registers, databases, and compliance documentation relevant to commercial activitiesProvide administrative support across commercial documentation, including tracking workflows and approvalsSupport the preparation of commercial reports, registers, and analysis as directedLiaise with internal and external stakeholders to respond to administrative queries and documentation requestsExecutive Support Director, Commercial ADSS:Provide diary and meeting management support, including scheduling, agenda preparation, and minutesAssist with travel arrangements and expense reconciliation as requiredCoordinate internal and external correspondence, ensuring timely and accurate communicationAssist with preparation of briefing materials, presentations, and reports for senior leadershipProvide ad hoc support for strategic and operational activities led by the Director, Commercial ADSSCross-Functional Collaboration:Foster strong relationships with Commercial and Business Operations teams across KBRLiaise with stakeholders from functions such as Finance, HR, Administration, Tax, Professional Development, and CommunicationsEnsure seamless support for business processes that intersect with the Commercial functionGeneral Functions:Actively contribute to administrative and operational process improvementsMaintain awareness of internal policy, procedural updates, and industry best practicesSupport the maintenance of a safe and compliant working environmentContribute to the digitisation and process improvement initiatives led by the Commercial TeamCoordinate new starter induction / onboarding activitiesCoordinate professional body memberships and activitiesCoordinate functional team meetings and training arrangementsSupport / coordinate requests for corporate commercial arrangements, including confidentiality agreementsQualifications, Skills and Experience2+ years experience in administration, business support or executive assistanceProficient user of MS Office products, particularly Excel, SharePoint, Outlook and WordExcellent organisational skills with strong attention to detailDemonstrated ability to manage time effectively and prioritise multiple tasksHigh level of professionalism, discretion, and confidentialityStrong written and verbal communication skillsCollaborative and team-oriented approach to workEligible to hold and maintain an AGSVA Baseline security clearanceQualification in Business Administration or related disciplineExperience in Contracts and Procurement activitiesExperience supporting senior executives in a corporate or government environmentExposure to Defence or government processes, including document management and complianceFamiliarity with Microsoft Dynamics or commercial operations systemsBenefits of KBRA workplace culture certified as a Great Place To Work (Aus, India, UK & US)Flexible working conditionsCompetitive salary (including annual reviews)Paid Parental leavePaid Reservist leaveIncome protectionCorporate rewardsSalary packaging/Novated leasingDiscounted employee stock purchase plansFlu shots, skin checks and private health insurance discountsCareer development: Online learning, mentorship and career pathwaysIf youre ready to shape tomorrow, lets get started.
