August 2025Location: Melbourne Max Events HQ based in Nunawading (3 days per week in HQ)OVERVIEWThe Event Assistant will work under the guidance of the Account Manager with the primary focus of the role being on Corporate Hospitality delivery for Melbourne Victory Football Club events and game days but will also work across other Max Events projects throughout the calendar year.Corporate Hospitality - Melbourne Victory Football Club (primary focus of role):Assist the Account Manager with the coordination of corporate hospitality eventsOperational elements venue selection, catering, AV, parkingEvent Documents invitations, run sheets, guest lists, floor plans, ticketing and checklistsAssist with database managementAdhere to the event budget, ensuring event planning is conducted within set budgetsAssist in the management of external contractors, ensuring best practice is delivered in all stages from quotation through to onsite deliveryWork closely with the relevant marketing team to ensure appropriate marketing collateral and communication plans are developed as requiredEvents, Game Day and Activations Various Max Events clients across Australia and New Zealand:Entertainment Sourcing and securing entertainment for events and activationsSignage & Branding arranging production of signage and branding for events and setting up signage on event dayLogistics Coordinating event logistics including booking furniture and equipment suppliers, creating site maps, coordinating bump in / outStaffing Booking and liaising with casual staff for events as requiredEvent Documents Creating and distributing basic run sheets and event plans to all stakeholdersOn site coordination of activations meeting and briefing staff and suppliers, event setup and pack downTravel within Australia and New Zealand as required for delivery of eventsKNOWLEDGE / SKILLS REQUIREDMinimum of 1-2 Years Industry ExperienceRelevant tertiary qualifications in Business, Event Management, Sport Management or similarHigh standard of administration and organisational skillsOutstanding communication skills - ability to build rapport and engage quicklyExcellent teaming skillsAbility to take direction, show initiative and carry tasks through to completion unsupervisedCompetent in the use of database and office applications, in particular ExcelHigh standard written and verbal communication skillsDemonstrate the ability to cope with a complex, multi-tasking environmentGood interest in and understanding of sports eventsSERVICE EXPECTATIONSBe an ambassador for Max Events and its clientsActively demonstrate Max Events service standards including:Always present in an impeccable wayAlways demonstrate flexibility and adaptability in the course of your roleHave a Can Do attitude and be willing to support others to succeedAlways be resourceful and do whatever it takes to seek solutionsBe level-headed and calm in high pressure situationsBe self motivated, proactive and demonstrate initiative in the course of your role**TO APPLY**Please email your CV to Marissa Stathopoulos via email marissa@maxevents.com.au (do not apply via Linkedin) .
