Melbourne | Hybrid (3+ Days in Office)12-Month Maternity Leave ContractWe are seeking an experienced and highly professional Executive Assistant to support the Managing Director, Health Insurance, in a 12-month maternity leave cover. This pivotal role provides executive-level support in a complex, fast-paced environment and is instrumental in ensuring the smooth and efficient operation of the Office of the MD and the Health Insurance Leadership Team (HILT).About the RoleAs Executive Assistant, you will provide high-level administrative and strategic support to the Managing Director, acting as a trusted advisor and first point of contact. This includes managing a dynamic calendar and email inbox across multiple time zones, preparing executive-level communications and reports, and coordinating complex meetings and travel arrangements.You will also contribute to broader initiatives across the Health Insurance business, lead and collaborate within the EA network, and help embed a positive and high-performing team culture. Your ability to operate with discretion, adaptability, and strong commercial acumen will be critical to success.Key ResponsibilitiesProvide high-level, proactive support to the MD, including diary, inbox, and correspondence managementCoordinate and manage internal and external meetings, travel arrangements, and eventsDraft, review, and proofread reports, presentations, and key communicationsAct as a liaison between the MD and internal/external stakeholders, including the global leadership teamSupport the preparation and facilitation of regular leadership meetings, including logistics, agenda setting, and minute takingAssist with budget tracking, invoicing, and expense managementLead collaboration within the Executive Assistant network and provide guidance to team assistantsSupport delivery of special projects and business initiatives as requiredWork closely with Chief of Staff to support the HI Managing Director on key programs and prioritiesAbout YouYou are a highly organised and adaptable professional with a proven ability to manage competing priorities in a dynamic environment. You demonstrate sound judgement, strong attention to detail, and the ability to communicate effectively across a broad stakeholder group.
