We are currently seeking a professional, detail-oriented, and proactive Administration Coordinator to join our team and to play a key role in supporting the operations of our clinic. Our team are committed to providing the best possible care, and we are looking for a team member who is highly motivated to provide a caring, empathic, and professional approach to all clients. Ideally, you will have an interest in working with children, and neurodevelopment.Key Skills RequiredDemonstrated excellence in English language proficiency (VCE English score of 85+ or equivalent qualification/experience level)Superior ability to translate complex psychological and clinical concepts into simple, parent-friendly explanationsExceptional multitasking capabilities with the ability to manage numerous responsibilities simultaneouslyProfessional communication skills suitable for high-stakes conversations with concerned parentsAdvanced problem-solving abilities and capacity to handle demanding requests with efficiencyExecutive-level organizational skills and attention to detail in a fast-paced environmentResponsibilities: As a Senior Clinical Administrator at CANGROUP, your primary responsibilities will include the following. Please note: Experience in each of the areas below is essential.ResponsibilitiesPatient Registration and SchedulingEfficiently manage patient appointments, ensuring accurate scheduling and timely remindersSchedule and coordinate neuropsychological assessments and follow-up appointmentsServe as the primary point of contact for families, providing compassionate and informative assistance with exceptional communication skillsGreet and assist patients and their families in a friendly and professional mannerCommunicate complex clinical information to parents in clear, accessible language that is easy to understandRespond to parent inquiries promptly and efficiently, providing accurate information on demandDocumentation and Record ManagementMaintain accurate and confidential patient records in compliance with clinic policiesAssist in the preparation of intake forms and other necessary documentationAssist in the preparation and organization of assessment reportsHandle multiple documentation tasks simultaneously while maintaining attention to detail and accuracyFacilitate communication between neuropsychologists, therapists, and other clinic staffAssist in organizing team meetings and events to promote collaboration and information sharingCommunication and Client RelationsServe as a point of contact for phone and email inquiries, providing information and directing inquiries to the appropriate staffLiaise with healthcare providers and other external stakeholdersMaintain professional communication standards when speaking with parents, demonstrating advanced interpersonal skillsNavigate complex and sensitive family situations with diplomacy and professionalismManage demanding situations with the efficiency and composure of a senior professional assistantYou have a friendly, approachable, positive mannerYou have excellent communication skills both written and verbalYou can engage and facilitate a culture of high performanceYou have exceptional people skills and can empathise with clients and uphold confidentiality at all timesYou have excellent crisis management skills and can manage client complaints (e.g. costs, outcomes or waiting times)You demonstrate exceptional professionalism when it comes to personal grooming, maintaining cleanliness and OH&S standards at the practiceBilling and PaymentsAssist with the billing process, including verifying insurance information and processing paymentsCollaborate with the finance team to ensure accurate and timely invoicingHandle multiple billing inquiries simultaneously while providing clear explanations to familiesGeneral Office SupportManage office supplies, including ordering and restocking as neededSupport the administrative needs of the clinic, such as photocopying, filing, and maintaining a tidy reception areaMake a valuable contribution to the ongoing development of the businessDemonstrate advanced organizational and multitasking abilities comparable to senior executive support rolesManage competing priorities and deadlines with precision and professionalismYou are highly skilled in Microsoft 365 and its associate suite of products including but not limited to Outlook, Excel, Word, Teams, Forms, PlannerQualifications and Essential SkillsProven experience (minimum 2 years) as an allied health, medical or legal administrative assistant.Familiarity with medical or mental health office procedures.Excellent organizational and multitasking abilities.Strong communication and interpersonal skills.High level of proficiency in Microsoft Office Suite and computer skills.High attention to detail and accuracy.Ability to multi-task and manage multiple demands.Understanding of medical and medicare billing processes is advantageous.Competitive salary based on the Health Professional and Support Services Award and will reflect your experience in similar roles (70,000-80,000 including superannuation).A friendly, positive, supportive workplace focused on client and team wellbeing.An interesting and dynamic workplaceA supportive and collaborative work environment dedicated to making a positive impact on family and their children''s livesHow to Apply:Interested candidates should submit their resume and a cover letter detailing their relevant experience to renee@cangroup.com.au .
