The Australian Vietnamese Women''s Association (AVWA) is a not-for-profit organisation dedicated to enhancing the lives of the Vietnamese community and other culturally diverse groups in Australia. AVWA provides practical in-home support that promotes choice, lifestyle, and independence, particularly for frail aged individuals, people with disabilities, and their caregivers. Operating primarily in Metropolitan Melbourne, AVWA collaborates with My Aged Care, the Department of Health, the National Disability Insurance Scheme (NDIS), and other stakeholders to deliver high-quality, culturally sensitive care.HCP Administrative Officer provides day-to-day administrative support to the Managers, Coordinators, Care managers, and Care workers of the HCPs program.What we are looking for:CommunicationHandle telephone and/or email enquiries from Care managers (CMs), Care workers (CWs) in a clear and friendly manner.Take accurate and concise messages and convey them to relevant staff.Main Tasks:Prepare new CW folders.Prepare new Client folders.Prepare monthly Clients Birthday Cards.Print & post IBs to clients.Prepare and post letters, invitations, and other correspondence.PPE: monitor, prepare for CWs to collect, complete monthly report on One drive & do quarterly physical stocktake report.Other Administrative Shared Tasks:Update clients contact details into MYOB Advanced, Shared Point, Clients contact list & Care management excel sheet.Event: Hall booking, Budget, prepare catering, finalize as requested.Participate and maintain meeting minutes.Taking meeting minutes.Organising HCP event/meeting shared task within Admin Team.Other duties as delegated by the HCP Team Leader.The above list is not exhaustive and the role may change to meet the overall objectives of AVWA.
