The Student Services Officer will also support the Administration Manager in the day-to-day operations of the organisation. In addition, working with the Administration Team ensuring all documentation received from students are handed over to the relevant member promptly or record is maintained in the system in a timely manner.ResponsibilitiesResponding to all telephone, walk-in, email and face-to-face queries at the reception areaGreeting visitors and welcoming them to SCEI-HE in a professional mannerEnsuring that calls are transferred to the respective person or message is taken promptly as requiredProviding student related documents to the relevant member or ensuring the details are recorded in the appropriate system in a timely manner.Scanning, filing and printing documents as requiredAssisting the Admin team to create student ID Cards and complete the applications for Overseas Health CoverLiaising with the Administration team to ensure students are contacted if any change in the schedule without delayMeeting weekly KPI and providing the report to the Administration Manager in a timely mannerTaking responsibility of posting letters and other correspondence, sorting out and handing over the mail to relevant staff, and managing the stationary register as requiredProcessing student requestsAssisting with the student orientation programs when requiredMaintaining the student request register, the assessment drop-off register and the visitor logAssisting with student enrolment forms and liaise with Marketing CoordinatorProvide assistance to Administration Manager during internal/ external audits as requiredChecking documents and files for accuracy and complianceIssuing student testamur and completion documentsProvide general advice to students regarding a variety of issues, dilemmas and or problems related to course progress, personal problems, accommodation, workplace relations, etc.Organise and create fun, social events that help build a strong student communitySupport and implement programs, which enhance the student experience at SCEI-HETake a hands-on leadership role along with other staff in order to ensure events run smoothlyActively contribute to ensuring an emotionally safe environment for students and staffLiaise with and participate in regular meetings with academic staff to identify, assist, educate and motivate students who are not meeting course progress requirements outlined in SCEI-HEs policies & proceduresConduct regular welfare and progress checksEnsure strict client confidentiality and share information with management and/or teachers ONLY where appropriateLiaise with the Head of Department and other colleagues to ensure that students are supported even during their work placement visits and follow up with those who do not complete the standard hours or does not meet the requirements of the courseImplement and maintain intervention strategy including all supportive documentation.
