ASSISTANT DIRECTOR / ADMINISTRATION MANAGEREvolution Early Learning is seeking an experienced Assistant Director and Administration Manager for a full-time position at our Mooloolaba service. The successful candidate must have had previous experience in a similar childcare role for a minimum of 2 years full time.About the opportunityWe are looking for an experienced and highly organized Administration Manager/Assistant Director to supervise daily support operations of our service and coordinate the most efficient administrative procedures to ensure that daily office operations are performed in a seamless and efficient manner.You will also perform the role of Educational Leader for the service.You will work closely with the Centre Manager to execute daily operations.This is a non-contact positionAs well as being an organizational whiz, the Administration Manager will support the Centre Director. Using your exceptionally high standards of customer service, you will provide a warm welcome to families and have the ability to develop positive rapport with new and existing centre families, contributing to the continuous improvement of the centres performance.ResponsibilitiesPerform a broad range of administrative duties.Provide direct assistance and support and organize schedules for the Centre Manager.Management of family accounts using Xplor childcare administration software.Maintain and manage staff, child, and family records in accordance with policies and guidelines.Manage filing and centre records using digital platforms.Manage weekly tours for new families, conduct new family enrolments, follow up enquiries, and manage waitlists efficiently.Monitor and manage centre occupancy weekly.Manage daily casual and permanent spaces to maximize occupancy.Manage family accounts with a high level of knowledge of childcare subsidy, rebates, and processes to assist families with fee payments.Debt management.Handle fee receipting, banking, petty cash monitoring.Support Centre Director in rosters and staff hours approval and monitoring.Manage staff files and support onboarding procedures, including staff schedules, qualifications, and records for regulatory compliance.Oversee staff onboarding and departure procedures, including ordering uniforms, managing keys, security dongles, and lockers.Analyze and collate data as required.Work with the Centre Manager and Assistant Director to support the centre in exceeding the National Quality Standards.Answer phones, emails, greet families, and provide support to ensure a smooth customer journey.Maintain effective communication with families, develop trust, and maintain confidentiality.Conduct regular audits of childrens electronic and hard file records.Plan and coordinate administrative procedures and systems, streamlining processes.Ensure smooth flow of information within the organization.Manage schedules and deadlines.Order and monitor inventory of office supplies and centre consumables; purchase new materials within budget.Oversee facilities services, maintenance, and tradespersons as directed.Approve invoices for outside contractors.Support compliance with policies and regulations.Supervise and onboard students on placement.Support WHS implementation and emergency procedures.Report weekly to the centre owner and perform administrative tasks as directed.RequirementsProven management experience in a childcare environment.Ability to work in a busy, fast-paced environment.Experience with Xplor childcare software is essential.Understanding of office management procedures and centre policies.Knowledge of childcare subsidy requirements.Familiarity with financial and facilities management principles.Proficient in MS Office and digital platforms.Analytical and problem-solving skills.Excellent organizational and multitasking abilities.Leadership skills and ability to work in a team.Experience with word-processing and spreadsheets.Financial analysis skills.High work ethics, including punctuality and attendance.Understanding of NQS/Framework.About YouQualifications & ExperienceDiploma in Early Childhood Education and Care or ACECQA-approved equivalent.Previous experience in childcare administration and management or leadership roles.Goal-oriented with achievement of targets.Proficient IT skills.Current Blue Card / Working with Children check.Current Senior First Aid certificate (including asthma and anaphylaxis training).Current Police Check or willingness to obtain.Strong organizational, time management, and numeracy skills.Excellent communication skills.Ability to work autonomously and as part of a team.Experience in debt management with consistent results.We are offeringA permanent, secure position with a growing family-owned childcare group.Competitive salary (negotiable).Uniform and laundry allowance.Daily meals.A supportive environment with mentoring and ongoing training opportunities.Opportunities for career growth.We are an equal opportunity employer.To apply, please send your full resume, covering letter, and qualifications outlining why you should be considered.
