The head office is based in North Sydney, Australia.About the roleThe Customer Service & Office Administrator plays a pivotal role in ensuring exceptional experiences across various touchpoints not only for our external customers but also as a central support within our internal team and office environment. This dynamic position involves close collaboration with the Sales Team, Operations, Digital, and all other departments to uphold the brand''s reputation, support daily office operations, and meet customer needs effectively.Given the fast-paced and evolving nature of our business, this role requires a high level of flexibility, initiative, and adaptability to respond to the changing needs of both the business and customers on any given day. Your high attention to detail and positive, solutions-driven attitude will be key to your success in this role.In addition to championing daily customer service needs, you will support the wider team and contribute to the smooth running of our office. This includes coordinating office supplies, maintaining organisation across shared spaces, and providing general administrative support to ensure an efficient, well-run workplace.Key responsibilitiesCustomer ServiceEngage with customers promptly and professionally across all global channels including CRM systems, email, live chat, phone, social media, and review platforms displaying superior communication skills and delivering an exemplary customer experience.Adhere to all customer service standards, processes, and policies across every platform and interaction.Address customer inquiries, concerns, and complaints with empathy and efficiency, striving for first-contact resolution and aligning with company response KPIs.Answer product-related questions, including ingredients and usage, clearly and knowledgeably.Proactively contact customers when required, ensuring communication is timely, helpful, and on-brand.Maintain consistency in brand messaging and professionalism in all customer-facing communications.Communicate key customer feedback to internal teams to help improve products, services, or processes.Collaborate with internal departments and external partners to ensure seamless service and quick resolution of customer issues.Monitor and manage customer order fulfilment, ensuring orders are processed, shipped, and delivered in a timely manner.Liaise with warehouse and operations teams to ensure accurate and efficient logistics, including the placement of orders and follow-ups.Handle returns and order corrections as needed, maintaining a high level of accuracy and customer satisfaction.Stay highly adaptive to shifting priorities and customer needs, managing multiple tasks effectively and meeting deadlines.Maintain a strong customer-first focus, aiming to exceed expectations in every interactionOffice Administration SupportKeep the office tidy, stocked, and running efficiently including managing supplies, ordering stationery, and coordinating basic maintenance.Organise and book team lunches, catering, and meeting room setups.Help coordinate small team events or celebrations.Support general admin tasksRequired knowledge and experience.Proven experience in a customer service / administration role, ideally in a fast-paced, collaborative environmentStrong organisational and time-management skills, with the ability to prioritise and multitask effectivelyExcellent verbal and written communication skills, with strong attention to detailDemonstrated initiative and problem-solving ability, with a proactive, solutions-oriented mindsetIntermediate proficiency in Excel; experience with platforms such as Shopify, Gorgias, and SAGE X3 is a strong advantageConfident using a variety of digital tools, systems, and platforms to support both customer service and administrative tasksAbility to work to tight deadlines and remain composed under pressureHigh level of accuracy and consistency in all communication and documentationAbility to work with AI toolsThis role is 3 days per week in our North Sydney office on Mondays, Wednesdays and Fridays.Working at Vida GlowWhilst working at our beautifully architecturally designed office in North Sydney you will enjoy:A generous monthly product allowanceBirthday leaveWellbeing program including on site gym and weekly Pilates classCompany funded parental leaveLoyalty leave earn up to 5 days extra additional leaveAbundance of local cafes and close to public transportCertified Great Place To WorkIf you''re looking to be part of a global company leading ingestible beauty, apply now!Vida Glow is committed to creating a diverse workplace that provides an equal opportunity for all.
