The role is full time, permanent and will commence commence on 11 August 2025.The School Officer - Administration Assistant to the Principal is a pivotal role within the Colleges Leadership and Administration Team. As the first point of contact for the Principal, this position is responsible for delivering high-level administrative support in often unique and complex situations to the Principal and broader Leadership Team, contributing significantly to the efficiency, organisation, and professionalism of College operations.This role requires a proactive, highly organised individual with exceptional attention to detail, strong interpersonal skills, and the ability to manage multiple priorities within a fast-paced environment. Operating with a high degree of confidentiality, discretion, and autonomy, the Administration Assistant ensures that the Principal is supported with seamless, efficient, and professional executive assistance across all areas of College leadership.Key AccountabilitiesProvide high-level administrative support to the Principal and delegates.Maintain a high degree of discretion and confidentiality in the performance of all duties.Manage and ensure accuracy for complex calendars, diaries, run sheets, agendas, communication, presentation and correspondence for the Principal and College.Manage incoming correspondence, including phone calls, emails, briefs, letters and appointment requests for the Principal.Coordinate all aspects of travel for the Principal, and when required, other leaders within the College.Manage and acquit Principal credit card and expense reimbursements.Arrange catering for meetings, planning days, staff functions and conferences for the Principal and Leadership.Coordinate files, meeting papers, and other support documentation for upcoming meetings and events for the Principal.Coordinate College Board meetings and maintain and update policies, registers and Board documentation, including sub committees.In collaboration with the Marketing Team, maintain and ensure accuracy of College information published on the College Website and Intranet, including, but not limited to, calendars, handbooks, policies & notices.In collaboration with the Principal and Business Manager, manage and update internal College staffing allocation records.Under the direction of the Principal, organise recruitment processes, including but not limited to booking interviews and meeting room availability, conducting background and reference checks, and liaising with TCEO HR to ensure compliance and adherence to allocated timeframes.Support Leadership with onboarding compliance documentation and inductions.Coordinate annual compliance training for staff, including event booking, catering, training materials, registers and follow up with staff to ensure completion of records.In collaboration with the College administration staff and Leadership, provide support for the Colleges timetabling and scheduling of classes and teachers.Contribute to a high-performing team, demonstrating proactive and innovative problem-solving skills, modelling collaborative values and behaviours and the ability to work effectively under limited supervision.Build and maintain productive working relationships with internal and external stakeholders, managing competing stakeholder needs to achieve desired results in a timely and professional manner.Provide support as required to other team members within the Leadership and Administration team.Any other duties as reasonably requested to support the functionality of the CollegeMandatoryCriteriaMinimum 3 years of administration assistant experience with senior management or executive leadership.Current Working with Children Suitability Card or eligibility to obtain the same *Ability to travel from time to time within the Catholic Diocese of TownsvilleAbility to perform the physical requirements of the role in a safe manner.* The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by the Queensland Government.Diploma in Business Administration or equivalent.Previous experience in the education field is advantageous.Some employees may be subject to pre-employment medical assessments during the selection process.
