You will work with a group of stakeholders to provide comprehensive and organised administration support to the Director. Including scheduling appointments, coordinating travel arrangements for both business and personal commitments and maintaining the commercial and residential property portfolio (nationally). Being a people orientated person, you will enjoy liaising with stakeholders such as real estate agents, executives and external partners.Key Responsibilities:Stakeholder Coordination & Communication: Regularly liaise with stakeholders across all states, including real estate agents, body corporates and contractors to ensure seamless and effective communication.Business Administration: Provide accurate record keeping of invoices, handling billing issues with service providers and ensuring timely and efficient communication for accounts. Update the electronic filing system for select service providers and contractors and handle day-to-day bookkeeping and administrative tasks.Efficiencies and support to the team: Utilise and integrate AI tools to optimise personal workflow and processes, including managing a busy email inbox, Maintain and develop the asset register for phones, printers, GPS, iPad devices and laptops, making informed decisions regarding distributing correspondence and coordinating travel documents.Qualifications & Experience:The below are an indication of the preferred level of skills and experience required, however transferable skills and similar experience will be considered.Proven experience (5+ years preferred) as a Personal Assistant with similar responsibilities, and or Administrator for property development organisations or real estate agents.Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience using Xero (or similar) and Microsoft D365 (or a similar ERP) - including finance and AI functions to maximise workflows.Management meeting minutes and note takingPersonal Attributes: You will be an excellent communicator, both verbal and written, and enjoy dealing with with various stakeholders to provide solutions and streamline business decisions. Although a team environment, you will enjoy working autonomously and proactively, being a forward planner and taking a proactive approach.
