Reporting to the COO, this role spans facilities management, travel coordination, HR and wellness support, WHS assistance, and cross-functional team support (both locally and remotely). The ideal candidate is highly organised, adaptable, and able to work independently.Key ResponsibilitiesServe as the first point of contact by answering and directing incoming calls, welcoming visitors at reception, and delivering consistently high levels of customer serviceEnsure the smooth day-to-day operations of the office, including ordering supplies, coordinating facilities maintenance, and overseeing cleaning servicesProvide comprehensive administrative and ad hoc support to executives and staff, including document preparation, filing, mail distribution, purchasing, and running errands as neededOrganise and manage domestic and international travel arrangements, including flights, accommodation, and ground transportationCollaborate with HR and management to support staff wellbeing programs, coordinate internal events, and contribute to engagement and cultural initiativesOffer assistance to staff in remote office locations, helping to facilitate seamless support and communicationEnsure assigned WHS-related responsibilities are fulfilledPerform other duties as required to support the broader needs of the businessEssentialDESIRED SKILLS AND EXPERIENCEStrong leadership skills that develop and promote a positive and proficient team cultureAbility to work in busy work environment whilst safely managing priorities to meet deadlines.Proven ability to work independently with minimal supervision.Strong problem solving and decision makingValid Drivers licenseDESIRABLEExperience using business software such as NetSuite, Smartsheet, and Microsoft Office SuitePrior experience in cost control or budget trackingUnderstanding of general office procedures and protocolsFamiliarity with coordinating travel and managing office logisticsUnderstanding of WHS compliance, audits, and reporting requirements #J-18808-Ljbffr
