Your role is to provide exceptional administrative and personal assistant support to the Chief Operating Officer, Chief Financial Officer, and the General Manager, Shopping Centres & Office Buildings, to ensure the smooth running of operations. This is a full-time contract of up to 6 months with the possibility of extension. Your duties will include, but are not limited to the following: Extensive proactive diary management and scheduling. Inbox management - draft replies when required. Meeting preparation - ensure the COO, CFO, and GM, SC & OB have all documentation required for meetings. Prepare agendas and take minutes for internal meetings in prescribed format and distribute to attendees as required. Follow up on meeting action items as required and directed. Coordinate the timely execution of lease and other documentation. Oversee all travel, accommodation bookings, and associated logistics. Oversee RSVPs of incoming invitations. Manage invitations to partners for Hawaiian events at the invitation of the COO, CFO, and GM, SC & OB. Arrange catering requirements for meetings, etc. Greet guests on arrival, prepare meeting rooms, and offer refreshments. Electronic filing on SharePoint. Handle any personal ad hoc requests as required. Qualification Requirements 2-5 years EA / PA / TA experience. Drivers License essential. Strong Microsoft Office experience and ability to quickly learn new systems with training. Demonstrate exceptional customer service, including servicing client requirements via telephone and in person, with maturity and empathy. Professional appearance and telephone manner.
